Transcript for "Mastering Evergreen Reports in Blackbaud's Education Management Software: Create Once, Use Forever":
Hey, everyone. My name is Elizabeth Bonery, and I am part of our education marketing team here at Blackbaud. Thank you so much for joining us for today's webinar, Mastering Evergreen Reports in Blackbaud's Education Management Software, Create Once, Use Forever. A few callouts as we get started. The webinar audio will be broadcast through your computer speakers, so, hopefully, you can hear me. A reminder that we will, send out the recording. So you will receive the recording to this about 24 hours thereafter. If you need captions, you can hover over the stage and click the cc button on the bottom of the screen, and that will turn your captions on and off. If you encounter any audio or technical issues, such as slides freezing, usually a quick refresh of your browser is the best way to get it working again. Worst case scenario, log out and log back in. You will see a chat feature. This is meant to be interactive amongst the attendees, and it's different from q and a. You'll see that to the right. We actually don't moderate the chat portion. So if you'd like to chat amongst yourselves, that's what it's there for. You do see the q and a portion. That's where you can submit any questions that you might have. When you're submitting questions, we ask that you please be specific. We will do our best to answer as many questions as we can during the webinar and or follow-up thereafter. However, if your question is something that we can't answer because it's specific to your school setup or configuration, we will likely redirect you to support and or consulting so that they can help work with you. Next to q and a, you should also see the docs area. Please click on this to access several links and resources that you may want to access during the presentation and share for future reference. And this does include a copy of today's deck and other key assets. You can adjust any settings by using the cogwheel at the bottom of the event space. And with that, I am very happy to welcome up to the stage and introduce today's subject matter expert, Grace. So, Grace, I'll hand it over to you. Awesome. Thank you so much, Alisa. Alright. So, welcome, everyone. Thank you for taking your time, out of your day to join us. I'll be talking to you guys about some reporting. But first, just an introduction. My name is Grace. I have been working with Blackbaud for over 5 years in the education space. And, some fun facts about me there. Who else cannot keep houseplants alive? I definitely cannot. So, just a little bit about our agenda today. 1st, we're gonna just talk about some background aspects to reporting just so that we're all on the same page. Also, we're gonna after we sort of establish that baseline understanding, we're gonna jump into the system, a sample database, and create some reports together. So, hopefully, you guys are ready for that. If you'd like to follow along during that area, go over to your docs section and open up the doc that says reports reference guide. That will have, on each page of that document, there is a different report that we're gonna build together. So, go ahead and open that if you'd like to follow along. And then after we go through those reports, we're gonna take some q and a. So if you do have questions, just like Elizabeth said, go ahead and pop those into the q and a box there on your screen. Alright. So just to get started here with some background information, the title of this webinar has evergreen reports in it. So what exactly does that mean? What are evergreen reports? Well, I will start with what they aren't, and that is that maybe you have some reports in your system that are too custom, too many filters. If we've updated the system, maybe they stopped working the way you've intended. That would be a great example of something not evergreen. Also, if you have to go into your reports every year and update those filters for maybe a new school year or something like that, then they're not very evergreen either. Also, think of all of those reports that you have made for maybe a colleague, and then you forgot to save those for later. Those are all lost to the ether, so those are not very evergreen. And, lastly, the, if you haven't documented that process that you've used to create your reports, maybe if you leave your school or your organization, your coworkers don't have any reference for how to recreate those reports once you're gone. So that would be an example of not a very evergreen reporting practice. But in contrast to that, evergreen reports that I'm considering here are flexible to updates. So they're kind of future proof in Blackbaud. If we make system updates, these, what we'll talk about in a minute, these Skyless are very flexible. So those updates, and they won't really mess up. Also, they're super easy to update year after year. You might not have to update them at all, which is super best case, or maybe there's just one filter that you'll have to tweak at the end of the school year. Also, it's very evergreen practice. I'm labeling it that to make sure you're saving your lists and labeling them properly so that you can actually get to those when you need them. And along with that, you can share these sky lists that we'll talk about with your colleagues so that they are accessible by other people, not just you. So if you do find yourself being asked, hey. Can you pull that report and send that to me? You could just say, actually, you can access that yourself. So that's definitely an evergreen practice that we wanna encourage. And lastly, we'll have to document how to make those reports so that if you do leave, your coworkers can't pick up after, and continue on. Alright. So with talking about reporting, we can't really avoid the question here about understanding Advantelists versus Skyless. So I'll start with Skyless. The name, for 1, is it doesn't actually stand for anything. It sort of indicates that they are living in the cloud, so to speak. So they are, they instantly refresh. They're always the most up to date data in your system. That's kind of what gives them their name. They are built into the system in different modules, so you don't have to separately go to a location to find those sky lists like you do with advanced lists. The sky lists also are accessible in a central location if you'd like, and I'll show you that here in a little bit. Sky lists are also way user friendly. They're shareable, like I said, with your colleagues. But one drawback is they can't be used for push page distribution groups. So if you do, utilize groups for sending those push page newsletters, a Skylist won't be able to produce that list of people for you. Now on the other hand, our advanced lists are extremely powerful. They're highly customizable, and they can be used for push page distribution groups, but they are not user friendly. If you've ever tried to just pop into an advanced list to get a report, you might find that that didn't work out very well. But, like I said, they are very powerful, so they do have their merits in that way. Now today, we won't be going over any specific advanced list reports. We're only gonna be focusing on those sky lists. And I just mentioned that because I know a lot of people struggle with the advanced list. So if you're hoping for help with that, that might be something you could talk to your advisory plus consultant about in the future. But for this webinar, we're just gonna focus on Skylists. Alright. So jumping through here, just a couple of things about how to use them in case you aren't already aware. You could access those under your reporting module and under manage lists. They are all listed straight on that page. So if you are in a different module, you might see different lists there, and we'll go ahead and look at that in the system in just a minute. But the Skylist, once you do open a topic to create a new list, it'll start you off with some default filters, which is extremely user friendly. And then you'll just have to pick your columns and your filters from there. So just remember that the columns have the different pieces of information that you can choose to include in the list, whereas the filters are how you can choose which criteria for that information you wanna include. Alright. And the last one here is just about sharing and saving your Skyless. So it's pretty simple, and we'll look at this here in just a minute. But if you build a nice list that you'd like to save for later, you can just click on the save button and then give it a name. And you can also say if you would like to share that with others, keep it private to yourself, or if you'd actually like other people to be able to edit that report. Alright? So with that, we're gonna go ahead and create some reports. So let me get my windows situated here. And this is gonna be a sample database, so not, your actual database, obviously. Let's see. Alright. So in just a second, you should be seeing okay. Good. Thank you, Elizabeth. Alright. So like I said earlier, if you wanted to follow along with the particular reports we're gonna make, open up that reports reference guide in the documents there. So the first one is gonna be about attendance. So if you've ever worked with our conduct module and our attendance rules, one thing you'll find is that we can't get, an automated system set up where if a student has missed 3 days in a particular class, there's nothing automated to let us know that that's happening. So instead, we can run a Skylist for this. So if we go into academics, and then under reporting, we see our manage lists area. Now here is where I was mentioning earlier about how you can access all of your Skyless in one central area. So if you are in any of the main modules, that would be academics, core, enrollment management, etcetera, You can just go under reporting and then manage lists, and you will see all of that module's list here. But for this, we'll go ahead and click create a new list, and you'll see all of the available topics. We're gonna click on student list, and we'll create a new one here. Alright. So for this list, we're gonna go through exactly the steps to create it. And then for the next list after this, I will show you a premade template. So, first, we'll have to click on filters. And since this is gonna be an attendance list, we're gonna expand the filter for attendance. And then at the bottom of that section, there is an option to include students with a total absence count by class. And if I click on that drop down, we can say we wanna look for absences that are greater than or equal to a certain number. So let's do 3 days. And if we scroll down and apply those filters, it should reduce the number of students in this list. So now we're seeing 90 students. But there is one problem. We don't know which classes they've missed. So to get that information, we'll go ahead and click on columns, and then we can search for class. And the very first result should be class summary, so we'll mark that one. And this will include the number of absences and tardies per class for the time frame. So we'll get into that time frame here next, but, first, I'll click apply changes. And so now we can see there's a new column added to our list here called class summary, and it's gonna show us all of, the students' attendance. So, for example, this line here, it looks like they've missed their 5th grade homeroom 5 times. So that is the data that we're looking for right there. Now for the time frame filter, if we open up the filters again, we can say we only want to see results for this school year. So under time frame, we'll just select, the school year. Now, if you wanna do it per term, you can do that with a specific date range. It's just that would depend on your school's particular term dates. So we'll go with this school year and apply filters. And now, you can see that before we had 90 students in the list. Now we only have 11. So there's only 11 students that have more than 3 absences for a single class this year. And if we wanted to, we could export this list and mess with that in Excel or import that information into another system. Alright. So don't forget. Go ahead and save that list. Give it a very descriptive name, and choose if you'd like other people to view it or be able to edit that or if it's just private to yourself. Alright. So that was very fun. Hopefully, we got used to clicking around. Don't be afraid to do that and, saving the list for later. So if we go to page number 2 in our reference guide, the second list is a student accounts check-in. So I do have that one premade, so I can just sort of walk you through what the different criteria are. Alright. So this is a list that's just pulling all current students. So that's perfect because it's not students in school year 24 or 25. It's just current students. So 3 years from now, we can return to this list, and it will still pull the current students for that particular school year. So that's what makes it evergreen. Now for the student accounts check-in, I was thinking the purpose of this list would be to check-in on the student standing. So if your school utilizes profile notices, that's like a a note that you can put on a student's profile, and you can see some examples here, we might wanna pull that information into a list as well as their parent contact information and their current tuition balance. So this balance comes from billing management. So if you don't happen to have that, this would not be an option for you. But, if you do, this is a great sort of single report to see, how the student is doing. So for the filters, this list actually doesn't have any filters. It's just, that the student is a current student in this, right here. Their role is current student. So that's default, and we won't have to make any changes to this list going forward. Alright. So if we jump to page 3 in your reference guide, this one is for all my registrars attending today. This might help you out. So if you are in academics, go into the scheduling menu, and then go to courses list. Alright. So the courses list will pull information about courses in your system. There's also a couple of other fun extras that you can add in. For example, in this list, for the columns, I've selected the courses department, grade level, how many students are enrolled in the course, how many requests for the course there have been, and how many class sections of that course are offered in the year. Alright. So if we open up the filters and expand the scheduling menu, we can apply another filter for what year that course is offered. So doing this is something we'll have to update every year, but it's only something you do once a year, so it's not too bad. So if we apply filters, it'll reduce that list to only the courses that are offered this year, and it'll also include those enrollment numbers. So, like I said, if you're a registrar, this can be a really good quick look at your entire course, offerings for that year. But, also, if you need to make edits to the course, you can do it directly from this list. So if we click on English 1, it will open this fly out window where we can go ahead and make edits to that course if we need to. So that's another benefit of Skyless that sometimes they're actually a work list where you can get some information about either the student or the course from that area. Alright. Let's go to page number 4 in our reference guide, and this one's for student academic standing. So particularly if they have, if you have rules about their grade average and their eligibility in sports. So this is another list type. So if you go into academics, and under the grades menu, if you open up the gradebook grades list, and then go ahead and click build a new list, you'll see that there's nothing that comes up at first. The reason for that is that these grade lists can be quite extensive, so our system isn't gonna show you everything all at once because it might kind of be slow to load. So to start off, we're gonna go ahead and go to the filters. And we see it's set to only pull current students, which is great. You can select a particular school year, which is what we'll do. Under the student menu, let's go ahead and select teams. So if we click select values, we can select all of the teams that maybe these teams have, an eligibility requirement. So we'll wanna make sure we're pulling students who are actually in a sport. Now let's go to the grades menu. And this filter, we can say, let's look for students with grades that are less than or equal to a certain number. So 60 60% is a pretty common, you know, threshold. So let's go ahead and try that. Now it looks like our sample database doesn't have any students with grades less than that, so I will click on this filter here to just change that number. Let's go 90%. Our fake students are high achievers. So, alright, so now we can see that everyone in the list has a cumulative Gradebook grade that's below 90. So if we did have some students with less than a 60, they would have shown up with that prior filter. But this is just a really awesome way to check periodically throughout the year if students are meeting that eligibility requirement. Now there is a bonus to this. If you wanna see which teams they're in, we can add that to the list as well. So if you click on columns and then search for team, you can mark the team's option. And so here, let's see. Refresh. It should list all the teams that they're in, but, apparently, these students don't actually have any team enrollments. So but if they did, you would be able to see which teams those are in your school. Alright. And, again, even though this Skylist is slightly different with the way it looks here, you can save this list, and you have those same access options that you can set. Alright. Let's go on to page 5, and we're gonna shift a little bit to enrollment management. So any of my admissions people in the house, we will be happy about this. Alright. So we're just gonna hop over to enrollment management. So we're gonna go into admissions, and then under that, there's a candidates list option. This list is indispensable for your admissions team. And if you aren't using it already, I highly recommend to explore it to see how you can utilize it. For this first one, for the candidates by status list, this is just a very general list, and it's gonna depend on how your admissions workflow works to, you know, what you want to pull in this list. So for an example, let's pull in any candidates who are in this status of prospect. Maybe that means that someone from our team needs to reach out to them to follow-up on something. So this would be a great report to run for that. So if we open the filters and we go into candidate information, we'll make sure that the role that is pulling is candidates, and we can add other entering years here as well if you'd like. I I know a lot of schools sort of work into entering years at one time, so we'll go ahead and do that. Now if you scroll down a little more, you'll see a select current status option. So we'll click on that and then select the prospect status and click select. Alright. So now if we apply those filters, we should only be seeing candidates who have applied for 24, 25, or 25, 26 who are in that prospect status, which it looks like the list is working. Now within candidates list, there's other features, specific to this area that you can utilize. You'll notice that there's these checkboxes next to the candidates' names. If you mark that, there's a menu that pops up here on the bottom that gives you a couple of other actions. So you can either assign an an admission staff to that user, assign the student as their own responsible signer. So if you have older students, you might not want parents signing contracts. You can also compose an official note and send that to them, and this works even if you select multiple candidates, or you can bulk complete some of their checklist steps. So don't forget about that feature here that's super useful. And just like that courses list we looked at a little bit ago, this is effectively a work list, which means that if you click on a candidate summary, a fly out window will appear, and you'll be able to either edit their information, add some internal notes, or take a look at their checklist progress and adjust the dates and statuses as needed. Alright. So even though that list itself is very basic, we're just looking at candidates of a particular status, it's actually super robust, and a lot of your work in the system could be done directly from this screen. So try to brainstorm how you might be able to utilize that in your own workflow. But we will move on to number 6, page number 6, which is candidates missing x. So once again, this depends on your particular workflow and what you require as part of the admissions process. But for this example, let's do candidates who have not completed a school tour. That's a very common thing. So I'll create a new list here, and I will open up those filters. And this time, I will go to the checklist section and select a checklist step. So if you're looking at this list, you'll notice, especially if you have multiple checklists, that the steps are, repeating, and there's there's quite a few things here. So just try to think of which checklist has a tour step required on it, and then find that in the list and mark it. So for this one, it looks like we've got a let's go ahead and search for a tour. Alright. So we've got 3 different checklists with a tour step in it. I'll go ahead and select all 3 of those and add those as a filter. Alright. And that did not work. Let's do that again. Clear all, and we'll look for tour. And instead of selecting select all, we'll just mark those three boxes. There we go. Much cleaner. Alright. So we could stop here just to see, what their status of that tour is, or we can add another filter for only pulling those students or candidates who haven't completed that step. So we'll mark the awaiting status. So this means that they have not completed any of those 3 checklist steps. So if we apply those filters, we see we actually do have 2 results here. And if we wanted to add more information to this list, we can do that in the columns. So since this is about a tour, let's see if we can add any information about the school tour. So if I search for tour there in the columns, we can see that there is a checklist status for each of those 3 different checklists, and it will tell us whether the checklist step was completed and when. So we'll apply that, and all of these should be awaiting, which it is. And since there's an awaiting in that middle school checklist column, we know that those students were assigned the middle school checklist. Alright. So for something like this, we know that we are awaiting their completion or scheduling of the school tour, so maybe we'd like to reach out to them and see what's going on with that. We can select all of those candidates and compose an official note for them. And, you know, if you have emails set up on your official notes, the parents would get an email about that, and you could really get that admissions process rolling. So you can see how that would be really helpful, for all kinds of different checklist steps, not just a school tour. You can use it as an internal tool as well. So if there's a follow-up that someone on your team needs to do after a candidate completes a step, your team can use this list to see what action items they have to do. Alright. Close out those tabs. Alright. So if we go to the last one here on our reference guide, it is for enrollment contracts. So if you are a school that is using our enrollment management system and you're using contracts, this contract list is also very indispensable for you guys. So we're gonna go into the enrollment menu and then contracts list, and we will build a new list here. Now let's make a report that shows us all candidates who have a contract assigned who have not completed it. So maybe they're missing a signature or they haven't even opened it yet. But to do that, we will click on filters, and I'll go ahead and add the 24, 25 school year to this. Alright. If we jump to the contract section, we can select a particular contract type that you would like to look at, or we can just leave it open to all contract types. I'll go ahead and leave it open in my example. But if you work for, let's say, your lower school only, you might want to reduce that to only your lower school contracts. Alright. And on the candidate slash student filter section, we can apply some other filters. So if you only want to see people, who have accepted the decision, that would be the candidate decision. So if you are a school that requires them to respond to your decisions, you'll wanna go ahead and include that response so that you know that they do plan on attending. I'm gonna go ahead and leave that off for our sample database here. Alright. Okay. Let's go ahead and apply those filters. Alright. So we've got 373 results here. Now if we scroll down, it looks like everyone in the list has a contract type assigned, which is great. That's what we want. But we can see under contract status that some of them are processed and completed. Some of them are saved. So we want to apply a filter to reduce it to only the people who have not submitted it yet. So let's go back to filters. And in the contract section, we can go to contract status and select none. So that means they haven't submitted it. They haven't it hasn't been processed. They haven't even opened it. These are people who have not started the contract at all. So we'll apply that filter. And now we can see the results are much lower. Only 8 different students have not opened their contract. So, from this list, unfortunately, it is not one where you can directly send an official note, although that would be very convenient. You could create a similar list in the candidate's list if that's something that you needed to do. But this is still a very good reference to know, who hasn't completed their contract yet. Now I do have a bonus for this one. If you wanna know who hasn't signed yet, we can add that as a column. So if we click columns and search for, parent oh, nope. Let's try signature or SIG. Alright. So we can scroll down a little bit after searching for that, and we can see there's an option for remaining responsible signers. So that will only show us people who still need to sign in order for that contract to be submitted. So it does list their emails, so you can reach out to them if you need to. Now this is a great troubleshooting step as well because we can see that this student, Jack Johnson, of course, does not have any responsible signers remaining, but the contract isn't completed yet. So that would raise a red flag to me to double check that he has parents or responsible signers on his account. Alright? So that list is super useful, and, unfortunately, it is one that if you make major changes to your contract naming scheme or something like that, you might need to revisit the filters so that you're keeping it as up to date as possible. But other than that, the school year filter is the only one you would have to update on a regular basis. Alright. Let's see. What do we have for time? Okay. Cool. I do have one bonus report that is not in our guide that I can show you guys. So, if we go into reporting and under manage lists and I know I said we weren't gonna talk about advanced lists today, and we're not. But if we go into the manage basic and advanced lists area, there are list templates that I have found a lot of school administrators aren't really aware of, or, if they are, they just haven't really used them before. So I just wanna take a minute to call this out. Like I was saying earlier, advanced lists are very complicated. They can be very powerful but hard to get started with. So these list templates are an excellent starting point. One of the most common types of advanced lists that I've seen is under this template category for constituent information. So if you were to go here, the list itself that I'm thinking of is called parents. It's it's actually at the bottom of that first page, students with parents flattened. So if you click on view slash copy next to any of these templates, It will open that report, and there are default filters and columns, essentially, added to the report already. So all you'll have to do is click the preview button in the far bottom right. So let's see what kind of results we get from this one. Alright. So if we scroll down, we could see the results here. And this list in particular is very handy because it will list the families all on one line. So each row, ideally, is a student with their parents, and it's up to 4 parents. So if you do have, you know, split families or multiple guardians, they should be included in this list. And this one is great if you are creating different reports for different grade levels. So, for example, you could adjust the filters to include only students that are in a a specific grade or school level and use that as sort of your, contact sheet. Alright? But, we don't wanna get too deep into advanced lists. I just wanted to make sure you're aware of those list templates. And, again, if you're not seeing that option, it is restricted to platform managers or clones of the platform manager role. Alright. Cool. Cool. Cool. Let me adjust my screen here, and we will go back to our slides. Alright. Cool. So as we all know, we are promoting today advisory plus, which is a consulting subscription. So I just wanna take a moment to talk to you about that a little bit. Hopefully, some of my customers are in the webinar right now. But, but, advisory plus consulting is a 1 on 1 sort of thing where it's it's very long term. So we will work with you for multiple years on strategic planning and things like that. So who would benefit most from advisory plus is if you need just a little extra help hands on in your system, not a demo environment, to give your team just that extra edge, figuring out how exactly their workflow should go. Also, if you aren't sure about your data integrity, if things just seem messy and you just need help sorting all of that out, we're perfect for helping you with that. We understand that your team has a lot on their plate, and sometimes those different planning tasks or putting the mental energy into figuring out how to untangle a web of bad data is just not something you can fit on your plate. So that's something we would be able to take off of your shoulders and sort of look into the system, see where you can make those good improvements, and then help you actually implement those over time. And, obviously, if you've got staff turnover issues and you're having, problems maintaining that information or the the, documented reports, for example, that's something we will work with you with on creating documentation. Alright. And like I said, advisory plus consulting is a long term consulting. So over the span of 3 years, for example, we might go from just doing a an assessment of your database to see where you're at right now, discovering those areas of opportunity for growth, and working on those over the next 2 or 3 years. Sorry, Elizabeth. Can you see that? Well, hopefully, you can still see that. Yep. We can. You are good. Thank you so much. But, yes, I wanna turn it over to Elizabeth. I think she has some other really awesome goodies for you guys. Yeah. I sure do. Grace, thank you so much. I'm also gonna let you take a sip of water come up her air and all of that goodness. So as Grace was mentioning, you know, you just learned from her. You heard about the amazing services that she and our team behind advisory plus can offer you and your school. So I'm gonna open up right now, a poll. It should have popped up in between the chat and the docs area, and there's a simple yes or no question. It's just asking if you'd like to learn more about our solutions, and that absolutely includes advisory plus. So if you say yes, someone from our team, will reach out and gather more information from you, what you're looking for, and, of course, share details from our team. So I will, leave that open, and we're always happy to have a conversation with you. Back to my other announcements, it is hard to believe, but live bbcon 2024 is behind us. However, it's not too late to join us on demand. So you can register for a free bbcon virtual pass, and this will let you watch some of our inspiring main stage content and select breakout sessions on demand. Once you've registered, the on demand content will be available starting October 15th, and you can go to bbconference.com to register. I also have that in the docs area, so the URL is there for you. I believe that a question was also posed, around whether there would be some additional content around advanced lists. I know we had a live session, at bbcon, on advanced lists, so it just might be one of the sessions that is available on demand. So be sure to check that out. There was so much goodness and we hope that y'all will join us live in Philadelphia, next year. Alright. There were also some questions in terms of, is this available, is this coming? So you gave us a great tee up for our product update briefings. Those are affectionately referred to as our pubs. They are coming up November 12th through 14th, and registration will open up on October 15th. If this concept is new to you or if you just haven't tuned in recently, our product update briefings are a semi annual celebration of technology innovation. During the pubs, we will share recent product updates. We will highlight our 6 month plans, and it's just a really great way to hear from our product managers what they've been working on and where they are going. As with most things, if you register, we always encourage you to attend live, but you will receive the recording as well. So there's a link in the resources to the landing page. That will also give you the ability to review the archives, and, of course, we'll be sure to send out communication once registration opens up on 15th. For those of you that have not engaged with your customer success manager for our current customers, we are excited to bring connect for success sessions led by customer success. I have said that a lot lately, so I'm getting better at it. These are virtual meetings that are designed to help you interact with your peers in a smaller group setting to discuss all things Blackbaud. This might include new feature release reviews, adoption resources, office hours, ask the expert sessions, and really just giving you the opportunity to network with similar Blackbaud customers. So be on the lookout for more information from our team at customer success. Whether you're brand new to Blackbaud, or you have a few of our solutions or all of that goodness, we wanna help you grow into our total school solution. So we do have some, limited time promotions in market. We'd love to talk to you to see if you are a good fit. So, again, please let us know. And with that, Grace, I'm gonna ask you to come join me back up on the stage. And, I know that we have some questions that we haven't yet been able to address. Awesome. Alright. If you don't see the option for one of the lists, maybe it was the Gradebook, grades list, or something like that, what access is needed to be able to use the lists? Yes. That's a great question. As with a lot of our answers, it's gonna depend on your particular school setup. In general, if you think about the list you're trying to access, so, for example, conduct list, that would only be accessible by someone with access to the conduct module. So if you think about that in terms of roles, that would be conduct manager, typically, or once again with the custom setup, if you guys have cloned a conduct manager role, that might that clone might be enough to give those users access to that list. So, it's kind of a longer answer than, oh, this this role gives you access to that. But in general, academic group manager gives you access to student lists and, some of those course lists, like, if you're a registrar, you might need. And then there's, of course, some lists in core that would be content manager or platform manager required. Awesome. I touched on it just a little bit, but if Skyless don't cover what someone needs for reporting, depending on if that session ends up on some of the on demand, sessions from BBCon. How can someone learn how to use advanced lists? Yes. That's a great question. So other than meeting with their advisory plus consultants, we do have and I think it's linked in our docs here. Let's see. I think it oh, yeah. It's called in our docs in this webinar, it's called tutorial for advanced lists. We do have a tutorial that you can start with. Hopefully, that gets you in the door to using an advanced list. But if you've started that tutorial, learned the basics, still can't get your list quite right, I suggest looking at the templates to see if any of those have what you need already built in. And from there, if you still aren't able to get what you need, definitely reach out to either a consultant if you have one or our support team with that specific, you know, question, and they should be able to help you. Awesome. Can you get an email report of lists when there are new applicants? Can you subscribe to email reports? Is there a way to be notified notified when a new student is added? So a lot about changes and notifications in real time and all of that goodness. Yes. So, we aren't able to get those things from Advanced List or from Skyless. But if you are an organization administrator at your organization, you should see an analysis option when you click on the hamburger menu. So that's the menu that you use to switch between, like, core and academics. So if you click on that and you see an analysis option there, you can access dashboards. And from the dashboards, there is a candidate dashboard that will give you the option to create some email reports for you. But that is definitely a whole other topic. If you're interested in that, you can look up in our knowledge base up at more about analysis dashboards. Awesome. Okay. There are some that are that are still in or we're still working on. Some are a little bit more specific to, being able to create a specific report. So let me see too if there are some that we can speak to generally. There was a question around if you need to register, as a new attendee for on demand sessions. If you've registered for bbcon and you were there with us live, that registration will, hold true. So I will go ahead and and mark that one, as answered. Let's see. And, Grace, if you want to take a peek into, some of what's in there and see if there are some that you wanna speak to, I'll Yeah. I just picked 1. Looks like, Kevin, you asked about if advisory plus is able to help with website issues. I'm assuming you mean school websites. If that's the case, then yes. Absolutely. But if you I've I've been asked this question before, and it ended up being a different product altogether. So if you're talking about Raiser's Edge, like, Online Express, I think that's what that is, I, unfortunately, would not be able to help, but we have other consultants in advisory plus that can help. So the answer is probably yes. We can help with the website issues. Fantastic. Mhmm. Oh, yep. I see, Michelle, you did a you did call out that the advanced list includes deceased parents. That is true. Yep. Of course, you could filter for excluding those, but that's definitely a good thing to bring up. By default, they're included. Let's see. There is a question from Julie. Do you have an example for tracking retention students applying out by grade level? So probably. It depends on what that means to you and your school. So we could definitely create a list that shows how many people maybe applied and then didn't end up enrolling that year. That would be, you know, a data point indicative of them choosing another school over you. But it I guess, that might not be exactly what you're asking. So, we might reach out to you to get more information on that. And that is a reminder too that after today, if we weren't able to either address your question via chat or right now, we will do our best to take a look at those we did not connect with and either let you know that that's something that, you know, support or or services would be, a good connection with. Or if there's something that we can help you with, of course, we will. Mhmm. And, Grace, if there's one more maybe, that you wanna try to tackle, before we give it a minute before the top of the hour, that would be fantastic. I do see 2 questions from Sarah about absences by students who are on teams or by day. I don't believe that we can do that in Skyless. So the report that I showed that had the count of absences was in the students list. The problem there is that the students list doesn't have that column that lists their teams. The gradebook grades list does have that column. So, unfortunately, we're we're missing either the teams or the attendance data in either report. So for something like that, I might work typically, I would work with you to create an advanced list that would combine all of those things. Excellent. Alright. We hear you on the on the request for advance list. We are always we are always working on the content that that y'all need and and are asking for. So stay tuned and gentle nudge to check out the on demand BBCon sessions as well. So with that, Grace, I wanna say thank you very much, and thank you to everyone who tuned in and attended. A reminder that you will receive the recording of this in your inbox, within usually takes about a day or so. But we really appreciate, Grace, you putting all of this together. Wanna remind everyone, check out the docs area if you haven't already. Lots of key resources including, the report resource guide that Grace was kind of following along and coaching along there. And with that, I hope everyone has a really great rest of your day. Thanks so much.
