And with that, I will welcome Ellen to the stage and hand it over to you, Ellen. Thanks, Elizabeth. What we're going to do today and thanks everyone for joining. It's really a pleasure to be here. We're going to break this up into a few quick pieces. We're gonna talk about a shift in trends and enrollment. We'll look into the baseline data that you should be using within your admission process. We'll talk about leveling up the analysis, and then Kelsey will come in and show in real time how some of these things can play out with a demonstration. So let's just jump in and get started. Oh, I went too far. So as I was brainstorming for this talk, I stumbled upon an article in EdWeek. Now it's it's from last year, but it did catch my attention. It said private school enrollment is on the rise. It turns out that for a decade, from 2010 to 2022, private schools share of all students remained pretty stagnant, but in the past few years, there has been a small but noticeable increase in that's been taking place. And it got me thinking about what's changing? Why is this happening? One of the obvious answers that we can think of is COVID. Obviously, that's where most of us remember starting to see this upward trend. The reality was our schools opened earlier than public schools during the pandemic and provided more consistent in person education earlier. There's also been, in certain states, schools school choice expansion. Whether you're for that or not, it has increased ability or the availability of school choice programs, and it's made private school education more accessible to families in the states where it's offered. Of course, we have political motivations. Parents on both sides of the political spectrum have been seeking more control over their children's educational content. And I think that, you know, if I've been talking with schools and reading articles, this is something that we've been feeling pretty significantly for the past few years. The next few are related to this. We think about the quality of education. Private schools are widely considered, and this is documented, to offer a higher quality of education. That hasn't changed. But what is changing is this potential sense of ambiguity around what public school curriculum and learning resources would look like in the coming years. With that, families may be even more likely to seek options that just feel a little bit more reliable to them. We've seen safety concerns. Some parents are preferring private schools due to their concerns about safety and discipline that they see in public schools. We've got cultural and religious preferences. Families are choosing private schools that closely align with their values and beliefs. And to be clear, the trend's not huge. It's small but noticeable. By no means does this mean that all of our schools are full, but something's happening, and there's an opportunity here. We have an opportunity to tap into those interests, especially where they fit your unique differentiators. So this is a time to be strategic, more strategic, nimble, and data driven to take advantage of the potential growth and even continue that upward trend. It means starting to look at data beyond the typical admission metrics to ensure that you're filling seats with the right students for your school. So, let's talk a little bit about the data baselines. These are the things that many of you are probably already doing, but it's always great to review. The first is applicant funnel analysis, where you're monitoring the stages of your application process to identify where applicants drop off, and you can use that to implement strategies to improve your conversion rates. So you're essentially measuring the conversion from one stage to the next. So, as an example, let's see let's say that you see applicants dropping off after they submit their application. Maybe the other steps in the application are cumbersome, or maybe you held an event somewhere in there that maybe wasn't as successful as as it normally would have been. These are the things that you can look at as early indicators of what's working and what needs tweaking in the future. Looking at your inquiry source. So you're determining where your inquiries are coming from so you can optimize your marketing strategies. This is a pretty easy and effective measurement. I'll say that there are definitely detailed and sophisticated ways to do it that can get you extremely granular data. Some schools, for instance, are adding pixels to social ads, Some are implementing digital experience platforms or, marketing automation platforms that analyze the behavior on your website. But at a minimum, this can be a simple question on your inquiry or your application. You're asking, How did I hear about or How did you hear about us? As an example, if you're not seeing a lot of parent referrals, maybe you dig into why. Is there a satisfaction problem among current parents? Maybe it's as simple as formalizing a referral program and coaching your parents on how to talk with prospective families. Of course, knowing the demographics of your candidates. So looking at age, gender, ethnicity, location, whether they're full pay or cost sensitive, These things will help tailor your outreach and your marketing examples or your marketing efforts. So as an example, if you have full pay applicants that live in a neighborhood that's far away, Maybe they tend to drop out of the process because of the distance. But if you can see that, you might consider doing something like adding a transportation option. The the the ideas here are pretty limitless, but your data can tell you what's going on. Applicant scoring. This is where you develop a scoring system so you can objectively evaluate your candidates based on various criteria, like their academic performance or extracurricular involvement or teacher recommendations or essays. This scoring system can be used to rank applicants and make more informed admission decision decisions. And it's important. I'd say regardless of whether or not your school is full, whether or not you're doing rolling admissions, it's still a valuable exercise to evaluate your applicant pool with a consistent set of measures. And it's also important not to accept students that are not a mission fit. I once heard an admission director, an old friend, he said it best. He said, for every bad fit that comes into our school, we lose five good fits. So it's really important to determine who you're bringing into your community and make sure that that student will thrive within your community. Yield and Selectivity. Selectivity is tracking the percentage of applicants that your school accepts. It helps you understand the health of your application pool. And then yield is similar, but it's tracking the percentage of acceptance students who ultimately enroll. This will help identify factors that influences students' decision to attend. These are arguably the most important measures of the health of your admission process. You want your selectivity percentage to be low. You know, if you're doing incredibly, maybe it's we're accepting only 10% of our applicants. And if you're also doing incredibly, your yield would be high. Of those acceptances, 90% enroll. Those would be great target numbers to go after. But, again, those are the basics. If you're not already looking into the data, you should be. And if the enrollment management software that you use isn't helping with helping you with that or if you're not using enrollment management software, you should be and your software should be helping you make that part easy. The next question that comes to mind is what else should you be measuring to gain insight? Retention analysis is a big one. Most teams are doing retention analysis that's reactive. For instance, asking a family why they made a decision to leave, and that's important data to collect. And it's also helpful to look at the data you have on hand. Not only does it help define the profile of a student who thrives and one who doesn't, It also you're you you've got it it can also help you identify existing students who might be at risk because your student information system holds valuable data to identify those students, and it will give you a proactive view into whether or not there's a risk of them leaving the school. So by leveraging that, you can analyze things like academic performance, attendance, maybe academic or financial holds to identify excuse me, to identify some of your at risk students early. Of course, there's a couple benefits here. It's gonna enable your team to implement targeted interventions to support those students and improve your retention rates, it also helps you as an admission team predict where there might be gaps in enrollment and even to further refine your future recruitment of students, which leads into student performance and identifying future best fits. This is where you're analyzing things like your academic performance for previously accepted students, and you're grouping them by various factors. Maybe those are factors in your admission process or or others. It's a little different than some of the more specific data that you're measuring for retention because you're analyzing academic outcomes for groups. Considering the data points that you capture in admission alongside academic data, just a few of the interesting things that you might measure. One of my favorites is the average grade of students by their sending school. So by the feeder school, how are my students performing year over year? This one's a clear indicator of what you might want to adjust in your future acceptances for your best fits. So if you're accepting a high percentage of kids from one feeder school and they're not performing as well as a group that you're accepting from another, you might next year want to shift your numbers and accept more from the other school. Other things that you might think about, academic performance by athletic or academic interest. Maybe you want to understand the average grades of your girls' varsity basketball kids that you accepted last year. Maybe you are looking at the average AP classes by feeder school. These kind of things can give you insight. Just yesterday, I was talking with a former admission director who shared a pretty interesting story with me about this. She worked in an all girls high school, and they had identified a trend around full pay girls coming from a very specific feeder school. And the trend was that they were behind in math. And because they were able to identify that data, what they ended up doing was formalizing an extra coaching course that was ultimately successful in getting these girls caught up, and the girls were graduating at the highest level of math that the school offered. That's a meaningful outcome for everyone that's involved just because the data was analyzed. So, ultimately, by understanding patterns, you can make more strategic decisions about which applicants to prioritize for acceptance and also understand how to better support your different groups. Now having worked in admission, I love to translate data into stories, and I always am thinking about what story we're telling. And the reality is we're never telling just one story. There's not one specific profile of a kid who's a fit at your school. So when you have visibility into this type of data, you can do the work to identify some of the different types of students that fit your mission, and you can articulate how you'll help them thrive. In other words, the data can inform the stories you tell, helping you genuinely connect with and serve a wider variety of candidates. Now, it sounds great to look at all of that, but we all know in admission we get pretty busy, and it's not always easy. And on top of that, many schools are using various solutions that house different types of data. So some approaches that you might take are, one, if you have various systems, you can certainly export most systems, if not all of them, give you the ability to export information from systems and load it into a spreadsheet. Now if you're doing that, it's, of course, important to have a common data point across all these systems like a student ID number so you can match the data. So for instance, your students that are in your admission data, you would wanna match that data that you're getting out of your student information system so you can, do that overall analysis. Now, of course, the time and the knowledge is a challenge here in terms of getting real time insights, but it's still a great approach for off season analysis and strategic planning. We see we've seen other schools leverage their IT teams to implement business intelligence tools. I've worked with teams that are continuously pulling data from their various systems in real time into a data warehouse that's used to connect to Power BI, which is a data visualization tool. What's important here is to make sure that you have different systems in place that have APIs, meaning a system can connect to pull information out of them, and not all software systems have that capability. Or you can hit the easy button. Having spent fifteen years thinking about admission data and strategy, I was kinda blown away by the scope of data that can be surfaced in such an easy way within Blackbaud enrollment management. So with that, Kelsey's gonna take over and show you how Blackbaud can make it easy. Now I want you to keep in mind, like Liz said, like Ebot. We call her Liz, Elizabeth Ebot. I'll call her Ebot. But keep in mind what she said in the beginning of our story here. Our enrollment management solution, when it's paired with financial aid, student billing, tuition management, and accounting, offers a huge amount of advanced functionality. And if you'd like to learn more about that, we're happy to walk you through individual demonstrations. But for today, it's all about the data. So over to you, Kelsey. Perfect. Thanks so much, Huijgen. And let me go ahead and get my screen share started up here. It might take just a few moments to get that. Alright. And as Huijgen said, there's an opportunity here to start looking at your school, your methods, and your data to really see what the trends are and what should you be focusing on within your, office at your school. Your data can really help you figure that out. And we have a variety of lists and reports that you can use within education managements where you can start pulling the data that you have out and start looking for those trends and looking for that analysis. You might need to export a few different lists or a few different reports and combine them to get what you're looking for. But if you have the data, you should be able to find what you need, whether it's in our system or in any system that you're using. What I'm gonna focus on today is really what you can do with the data that you do have within education management with the tools that we have in place for you here. And more specifically, how you can start to visualize that data and not just look at numbers, in a list on a chart. So coming over to our system, there is a spot where you can hop into analysis. We have a combination of preconfigured dashboards within here that start to get you into visualizing your data. And then we have an option that you can use to really customize those visualizations and start getting into the things that matter most to your school. So I'll start by looking at some of the preconfigured dashboards that we have. One of them here is just your general admissions overview. So Ellen Ellen said one of the first things to look at is really just your funnel and your pipeline. Do you have any points where you're really losing those families as part of your process? Do you have any points where you're really retaining them as you start going down that funnel and through your process? It might not be obvious just from looking at a list of records where you're doing well and where you have those drop offs. But if you have a way that you can look at it like this, it's going to become much more obvious. So in this case, ignore my demo data. We might be a little, on the fantastical side in terms of our numbers, but we might have had 1,800 inquiries, but only 200 of them applied. That's a really big drop off. So what are some of the things that you can start looking into to figure out why those that are inquiring at your school aren't actually going through with the application process? It might also be that you have a drop off getting them from application to application complete. What's happening in between those two parts that's causing your families to drop out of the process? Is it too many requirements? Are they not able to get the recommendations they need? Are they having trouble coming in for a visit? Those are the things that you can start looking into. We also have some visualizations here in terms of conversion rates. So how many of your inquiries actually apply, and you can look at your trends over time. So if you're really focusing on that conversion rate, you can easily see have your numbers been going up over time. Have they gone down over time? Are there certain years where it took a dip versus other years? And then again, start looking into what some of those causes might be that are affecting these numbers. So from here, you can see there's just a variety of things that are pre set up, meaning that you don't have to spend any time creating these reports to be able to get some of that high level information that you might be looking for. Now these are mainly a visualization of your data. If you ever wanna get into some of the finer points, let's say you wanna see exactly who these 200 families are, the great part about these is you can drill down into them. So it's taking the data that you have that you might have gotten through a list in other areas of the program, and it's giving you the ability to pull that same kind of list directly from here. So that way, you don't have to worry about trying to figure out how to recreate that number somewhere else within the system. It's doing that work for you because it already knows where it got those numbers from. So if I were to click on this, I can easily see exactly who those candidates are that are making up that number. I could add some additional information in here. I could export this. I could also create a list, which would save that list in enrollment management. So if you wanna use it to send out an official note or do something else with it, it's, again, done the work for you, and you can repurpose this information for other areas in the system. Alright. This real quick. And then coming over here, we also have a few other built in dashboards. One of them is your candidates dashboard. This starts to get more into the demographics behind the numbers coming into your system. So you can see how many candidates do you have, how many of them have faculty members, that are parents, how many of them are children of your alums, so they have siblings. So if you're trying to look for some of those connection points, it starts to call those out for you, which sometimes it can be a little tricky to get these numbers in the list. This takes the complexity out of it and makes it really, really simple to see that. It's also gonna show you things like your top sending schools, how they've heard about you over time. So if you're looking to see how effective your marketing has been, or, again, do you have parents that are referring? You can easily see that from here. You can see which ones are really driving your pipeline and driving the engagement within your process. We also have things like candidates by ZIP code. So if you wanna see how you're doing in certain parts of town, this starts to pull that together for you as well. And up here at the top, we have a variety of filters that you could use. Let's say you're wanting to see how you're doing, from a particular sending school. You can go ahead and filter on one of these. It'll update, your data to look specifically at candidates coming from that sending school. Let's say you just put up a brand new billboard and you wanna see what kind of numbers you're getting from that billboard. You can use that as one of your filters here. It's gonna update all the demographics that are coming in based on the families that had that source coming into your system. And now you can see the specifics for that particular group. So are these the kind of candidates that you would want to get from that source? Are you driving them through the process? Is there anything else that you can do to start converting some of these inquiries that might have come in? So you can see how by having the information, you can start using this to slice and dice the information Just start looking for those trends that might be affecting your process. Now these built in dashboards, we have a few more as well for capacity planning and for contracts. They're really touching on the basics. And they are preconfigured, which means that while you have some filters that you can use to affect the data that shows here, you can't change the metrics that are in these, different data points. So I couldn't change this to be different school years here instead of different months, for example. If you are looking for ways to really customize these numbers and make them work for what you're looking for at your school, that's where our insight designer, tool would come into play. What that's gonna allow you to do is to create what we call insights. Those are the different graphs or the different metrics that you see within those dashboards. You could determine what matters to you, what are you looking to analyze, what factors are most important for the leadership at your school. You can build out those insights, and then you can structure those insights into different dashboards. So you could have a dashboard specifically for your admissions office. You could have another dashboard for your head of school that looks at the overarching trends at the school. So the possibilities are really endless in terms of what you can do with these. And it's kind of like bringing Excel pivot tables into the product and giving you the flexibility to choose, what pieces of information you want to look at. So if I look at this example here, I have some of the same information that I just saw on that preconfigured dashboard, but I've been able to customize it a little bit more. So, for example, with my inquiries here, I can see how many inquiries I brought in so far this admission season, and I can compare that to the previous quarter or the previous year depending on what matters to me. And it's going to show me automatically what's my trend from that year over year, that period over period time. So right now, I'm down 27% based on this time last year. So what am I doing differently that's affecting the number of inquiries that I've gotten? Is there anything that I need to start looking into? It allows you to be a little bit more reactive to the data because you're able to see that and see what's happening and see what you need to do to start turning those numbers around. We also have things like candidates by grade level and status. So, again, just going a little bit further than what we had on that preconfigured, dashboard so that I can see not only just my statuses, but broken down by grade level. So am I getting the right number of applicants by grade level based on what my targets are based on how many open seats that I have. By having this visualization here, I can quickly see if I'm lacking applicants in a certain grade level, for example. I can try to reach out, figure out what's going on with that particular grade level. You can also start looking at things like how many of your applicants are actually completing their application, and you can look at that information over time. So, again, if that's been one of your focuses, trying to figure out how to convert more applicants into completing the application, you can see are you trending in the right direction based on your goals. And then up here, I have a variety of filters that I've added. So let's say, this year, I'm doing a little bit better on the completed applications, but I wanna see if there's anything that's really contributing to the fact that I'm able to get more completed applications. I could look at this by admissions officer. So is one admissions officer doing really great and completing a whole lot of applications and one of them maybe isn't? So if you feel like there might be be some disparities in terms of the groups of applicants coming in based on who they're working with or if someone's doing really, really well, then you can start looking at the metrics specifically for them to see what story that tells. You can also look at it. Are these candidates that have a sibling that's already enrolled? Are they completing the application more so than Samuels that don't already have that connection at your school? There's also sending school. Are they applying for financial aid? So since this is all customizable, you can think about, again, the things that you're trying to focus on for your school and then start getting a different picture of your data by using these filters to really drill down in and look at these metrics for a specific group. Coming down a little bit further, we also can go, more so into the source and how your families are hearing about you. So Ellen mentioned having a parent referral program. You might notice that this year, your, parents aren't referring as many families as they had referred in years past. You can have metrics to start to show year over year what are your sources looking like. And if this year, maybe it's a little bit low, you can come up to your filters. How's it doing for lower school versus middle school? Do you have more families referring for middle school than lower school? And if that's the case, what's going on on the lower school side that's causing fewer parents to make referrals that are bringing applicants into your pipeline? If we jump down even more, we have the sending school information and looking at how qualified those applicants were over time. Knowing that you have a combined system here, you have admissions data as well as current student data all together in one place, which means that you can start looking at the information in a combined way. So once you have admitted your applicants, they've been at your school a couple of years, they've gotten grades, they've participated in activities or athletics, Let's see how these students are performing and break it down based on where they came from, which sending school they came from. So you're able to see the average grade here by sending school. So the, in my system, the students that are coming from Apple Academy seem to be performing at a much higher level than the students coming from the other schools. You can even break that down further. Are they performing higher in math versus science versus English versus foreign languages? So is there something about that candidate pool from that particular school that really resonates with the way that you teach at your school? And if that's the case, should you you be pursuing more applicants from that particular school? Or are there certain elements that's making those students successful that you could be looking for in applicants coming from other schools as well? You can also see extracurricular participation. So for students coming from different places, are they typically participating in athletics and doing well at your school? Are they joining the drama club or the student activity groups? So So if you're looking for a more more well rounded picture of, the students coming from different sending schools, you can look at it not only from grades, but also from an engagement involvement perspective. Now before I show you a couple other dashboards, I just wanna kind of give you the behind the scenes about how this comes together because it can look a little daunting looking at this and trying to figure out how you would actually create all these pieces and pull it together. But if you have ever created a pivot table in Excel, you can 100% create these dashboards. It's actually gonna be easier than it would have been creating it in Excel. So if I jump jump into the editing view, you're able to create the dashboards here. And as part of the builder, it's going to give you the option to pull in filters. So all of those different elements I have across the top, it's just drag and drop to add extra elements if I wanted to filter on something else. So let's say I wanted to be able to break this down by boarding or day. All I have to do is pick that up, drop it in there. I now have the extra filter that I can use. If I wanted to add in a different metric or another option here, I could just pick that up and just drop that in. So these different insights are things that you can either pre build or you can build here while you're already in the dashboard. And then it's just drag and drop to get that on to your dashboard. For building any one of these, that's also gonna be drag and drop. So it's going to give you a list of available fields or available, items that you can pick from. All you have to do is drop that in. So if you wanted to look at something by admissions officer, I can pick that up, drop it in. It's going to adjust my data based on that. If I want to look at active candidates versus inactive candidates, I can come into my candidates metrics and I can add filters. So I can filter on active or inactive. I could filter onboarding or day. So you can see how this lets you start building up very specific data points, but in such a way that's really accessible for the standard user. You don't have to be super gifted in the in the art of reporting or in data management to be able to get meaningful information out of the system. We also have different ways that you can visualize it. So, again, as easy as clicking, it's going to update automatically to show you the different ways that you can visualize this and, even give suggestions for comparing this quarter over quarter or year over year or ways that you could really dig into the data and give you some more information to go along with it. Sorry. I'm blocked here. Let me close this out. So going back, I will show you just a couple other dashboards that I had pulled up as examples. One of them is going to be enrollment information. So if you're looking for trends, you can have information here that starts to pull in, withdrawn student information. You can have it start analyzing and doing some capacity planning based on your contracts that you have within the system. So, again, customizable, but you can start looking at the things that matter to you to make sure that you're retaining your students, especially as reenrollment starts to come around. And you can use this to start being a little bit more, proactive. So looking at withdrawn student information, they've already withdrawn. It's good to see the information and be able to look for those trends about what might be prompting them to withdraw, but that's reactive. If you're looking for the proactive side of it, you can start looking at things like I have here in my head of school dashboard, which will show you at risk students as an example. So I have a metric set up here that shows me semester one grades versus the gradebook grade coming together for semester two and highlighting any students that might have had a big dip in their grade from semester one to semester two. If that's happening, there might be something going on where you need to intervene in some way. Check-in with that student, check-in with the family. Is there anything that you can do to start boosting those grades, making them feel comfortable, and start weeding out any issues that might lead to with a withdrawal or, leaving the school in some way? You can also look at student engagement. So over time, this is looking at the number of students that you have compared with the number of students that are actively involved in athletics or other student activities combined with their grades. So are you seeing any sort of dip in grades, any sort of dip in participation? Is there some sort of trend that you might wanna dig into from that perspective? There's also looking at averages by group. So here, I have my average, grade for student athletes compared to an average grade for kids who are, children of alums of your school compared to the average for all students. So these were just some metrics that I grabbed as a way to show you that you can easily start comparing those types of things to see not only what might be affecting, the students staying with your school, what's making them successful, but also coming back to that idea of building a picture of what is a successful student at your school and what should you be looking for when it comes to admissions and the families that are coming through. Are there some sort of stats or some sort of elements of those potential students that would make them the best fit for your school? So it kind of brings the whole picture around, kind of brings it back full three sixty. Not only are you using this to look at admissions and making more successful in getting more applicants into seats at your school, but you can see by combining that with current student data, you're able to see what might be the most qualified families to be within your school and what are some of those, stats that you might wanna look for. So as we close out this part of the presentation, my biggest recommendation to you at this point is really just think about what metrics matter most for your school. Is location a factor? Is it affordability? Is it your athletics offerings? Think about areas that you might be struggling with. Is it retention, an issue with filling your pipeline, or converting those applicants? And really make sure that you're tracking the data that you need to help paint a picture of what might be happening. So if you're looking for trying to figure out where you're most successful in your marketing efforts, make sure you're tracking how families heard about you to ensure that you can start using that information later to look for trends and look to see how that might be affecting your numbers over time. If your, analysis, it's really only as good as the data that you have. So that's really my biggest tip is just make sure that you are tracking the things that you need so that you can really start bringing your data to life. And in this case, if you haven't used the insight designer, this is a really great and really accessible way to start bringing your data to life and start seeing visual ideas of what your trends might be and giving you a great way that you can just tinker and play around and try to find things that might be meaningful and might be impactful for deciding the strategy that you have within your school.
