Looking forward to the conversation over the next half hour, forty five minutes. Cool. My name is Troy Walker. I see some familiar names in chat, so, welcome. Welcome to all the new people as well. Live in Austin, Texas. I've been with Blackbaud for shoot over or over two decades and worked on this tool, a lot of that time. So love we've been working with Russ forever. Love hearing his stories and how he's gonna make your life a lot easier. And then, also, I've got some new things to show you that we're gonna be showing at BBCON in, two or three weeks. So just a sneak preview of some of the, you know, new registration, possibilities, and, we're trying to streamline what you're you know, could be doing today or or tomorrow. So, thanks thanks for joining us. Now, Russ, did did you wanna start or you want me to to jump into the new features first and then hand it over to you? Great. I'll just run through a little agenda for. how we're going. to. work through the the webinar and, and then hand it back off to you. Perfect. Yep. So, again, appreciate everybody for joining today. We're gonna talk about something I think every organization that runs events struggles with, making the event day experience smooth, efficient, and donor friendly. So to do that, we're gonna, talk about, first and foremost, the partnership between Blackbaud and Grassroots Unwired and how that works to give you a seamless event experience. We're gonna talk about the challenges we see our clients facing and some ideas, that we've, collectively come up with to address those challenges. And, I know Ray mentioned it at the outset, but we would definitely encourage you to let us know in the chat if you have similar challenges when you hear us talking about them or if there are challenges you have that we haven't mentioned. We definitely want this session to be a dialogue. After that, we're gonna run through some case studies from current TeamRaiser for event day users, including a short interview I did with staff from the Fred Hutch Cancer Center about their event, the Obliteride. And then finally, we'll talk about the event day optimization workshop. That's an exciting joint effort between Blackbaud and Grassroots on Wired to give you and your team a one on one session to talk through the current state of the day of your events and explore ideas for organizing the experience, optimizing the experience for your organization, your participants, and your volunteers. And as Sabrina mentioned during the webinar, there's gonna be some links under docs on the right side of your screen. You can access anytime. There's gonna be information about the exciting road map for Luminate online and TeamRaiser that Troy's also gonna talk about and, a blog post that we publish covering the topics we'll discuss here today and then also a link to the sign up page for the optimization workshop. And just so briefly, just on the partnership, and then I'll pass it off to Troy. You know, we really think it exemplifies what Blackbaud likes to talk about the concept of better together. From our perspective, we love this partnership because it allows both sides to play to their strengths. Luminate and TeamRazor are best in class solutions for managing peer to peer events, and we pick up where Team Razer leaves off the so called last mile of your event experience. We're not a participant facing app. For that, you would use something like Blackbaud's Good Move app, but we are, an organization facing app that is mobile first and built to give you a solution that's fully integrated with Luminate, online, TeamRaiser, and Blackbaud payments. And, Troy is gonna talk a little bit about the partnership from the Blackbaud perspective now. Yeah. Perfect. Let me see if I could stop sharing that and just show you some of the new goodness. So one of the things that, that works so well within our partnership is, Russ is all about, like you said, the last mile boots on the ground and and a lot of things that they're not built in this product. But, in terms of getting that person to the actual event, we've made some major, major adjustments in in terms of the things that we've heard from you all over the course of the last, you know, twenty five years. One of those is registration and really being able to, make that registration process a lot more streamlined. So you'll see things like, see if I can paste this so you don't have to watch me type. You'll see, as we walk through this, one of the huge things is that notion of being able to register more than than one person at a time. So as I start to type my information in here, it'll fill it all out. Right? You can go into the 10 k. And, again, this is obviously gonna be done for for virtual events. I'll do the XXL. Right? I'm gonna just register for myself as I'm going through here. I read the waiver. But I can also go in and add more people over in here. So one of the really cool things is in the past, registering a team or registering families has has has caused a lot of friction for you all, especially if they're minors. So you'll also see if it's a if it's someone that's a minor, we they don't have to have their own fundraising page. They don't we're not gonna ask them for their email address or their phone number or anything else along those lines. So it's gonna allow you to be able to continue working with them the way that you would obviously work with them. We've also done some major, major upgrades to the participant center. So when I log in, you're gonna basically see a dashboard that sits here where I can see all the money that I've raised for your organization. I can also see all the events that I've participated in in the past. So you see that right now, I've got the spring walk that's happening. I go in here to start fundraising. You you can see all the other information as we walk through that as well. Right? So first part of this is sharing across social to continue. Right? Basic basic walk through in terms of we're asking individuals how to do things. The other thing is we're working with their phone too. So this this old school notion of, you know, going to YouTube and and and uploading a a a a video to YouTube, no longer there. You pull it right off your phone. Right? Tell your story. Not only can I tell my story, but as I, you know, put in some, stuff that is in here, I can have AI help me actually generate that story as well? Right? So as we go through this, I can generate that that copy, and it'll go through and generate copy as well. So, again, what we're trying to do is keep as as little friction in here as possible. And we also know that when someone updates their personal page, they raise 20 to 30, percent more. And then one really last quick thing before I hand this over to to Russ is the the new and improved look. So old TeamRaiser, classic TeamRaiser, advanced TeamRaiser, whatever you wanna call it, is still there just like what you see here. However, if I go into edit, you can see that I can go into this modern or what we call, our our vision, view, which is the wizard that walks me through this. So instead of 18 steps, you're looking at six. Really easy to go through and add in all the different things that are here. Your badges. Right? I can go through and, like, I can look at all the returning, information that's here. It's asking me to add more information in, obviously. You're gonna have your your communication that's built in here as well, all the registration types, t shirts, medals, you know, everything else that you wanna have in here, your discount codes. Right? And then you can also again, same stuff that you had in the past, but allowing you to do this significantly easier. And, also, I'm able to come in and even pull in my own templates now. So it's broken out to really set this up in a way where you've got right now, right, you're building your own templates. But if I wanted to go in and do a virtual challenge, it's gonna change that look and feel based on something that looks more like a virtual challenge. So a sneak peek, what what what you're gonna be, seeing at BBCon. The idea is we're hoping that this rolls out early November. Again, road map stuff. So, you know, things could change. So, Ross, I'm gonna throw it back to you. I'll answer any questions that are in the chat, and then also I'll just jump in and add color as we go through. Great. Should be able to go now, Russ. Yep. K. So this is, on the right here is the is the start of an event called Obliteride. It's over 4,000 participants across multiple event types. They spend months using TeamRaiser to perfect pre event outreach, manage the peer to peer campaigns for the participants, and drive advanced registrations. But even with all the hard work they put in leading up to the event, there's still a large gap between the work that they've done and this moment when the participants start the walk. The event seems like it should run smoothly, but as soon as everyone arrives on-site, what if participants are confronted with long registration lines, spotty Internet service, and generally disconnected systems in how they're carrying out their tasks? You'll still get the event started, still get the walkers walking, but it's likely you'll end up with frustrated participants and volunteers and ultimately, missed donor opportunities and reduced participant, retention. So how do you bridge the gap between that pre event experience you get with Luminate and TeamRaiser and the event day? Like I said, there's many challenges that we've identified, but today, we're gonna focus on four common ones that we tend to hear over and over again that can easily stall the fundraising on the day of the event and participant satisfaction on day of the event. First thing is bottlenecks, lines. Nothing's more detrimental to long term participant retention than welcoming supporters who are so ready to go that morning with agonizingly slow check-in lines. So it happens because the, organizations might rely on static printed guest lists or having volunteers manually search for names. It creates immediate operational stress, stress on the volunteers, and it creates information silos on-site. It's even more disruptive when organizations feel forced to shut down online registration and TeamRaiser days in advance just to clean up and print out their spreadsheets. And so in our experience, if a walker, experiences friction before they even reach the starting line, their likelihood of returning next year plummets. And while lines are the enemy and they could create a negative impression, there's ways to address these lines. Mobile technology that's equipped with barcode scanning gives you a lot more flexibility on event day. Scanning a barcode moves a participant through the line in seconds. This also allows multiple check-in stations to coordinate in real time. Your team can assign bibs or table numbers, track incentive rewards, and keep online edge registration open right up until the event starts. The mobile devices also give your team mobility. It allows you to step out from behind the desk or the check-in area and work the crowd. So we'll see, you know, if if, check-in lines are separated by last name, letters of last names, and every last name from l through t suddenly has a surge of people that show up. Volunteers can move to that line, check people in from the back, and shrink it from both ends. So, you know, those those are some ways that they can, clearly speed things up at that initial point of contact with the participants. But on the back end, what they're also getting or can be getting are time stamped check ins, and a record of exactly when people arrived. So and for future events, you'll be able to look at the time stamps and say, okay. We know that the overwhelming majority of people show up between eight and 9AM. That's our prime time. That's when we have to proactively schedule volunteers to be ready for that surge in check-in. So not only is it helping you on the day of, it's helping you as you move forward to future events and can look back historically at what happened. And check-in is the first, opportunity to make your organize make your participants feel seen. So, when a volunteer can instantly see how much a person has raised up into that moment and express specific gratitude for that support, that participant's feeling valued before the event even begins. Contrast that with a supporter who may be on their way to the event, put another $500 into their TeamRaiser page. And then when they get to the event, they think they've qualified for a new reward level. They think they've done a certain amount of fundraising, and it doesn't show up on the organization's end. So a personalized up to date experience will win every time. The second issue that we see a lot are connectivity issues. So nobody really thinks about it until it doesn't work, and by then, you're at the event it's too late. We've seen venue Wi Fi or local cellular networks be fail for a number of reasons. It doesn't just happen in remote areas. We've seen it vanishing hotel ballrooms in the middle of Central Park where thousands of devices are all fighting for the same cell tower. And it tends to fail exactly where you least expect it, And that's when your web app based applications freeze up, your QR codes fail to load, and other ideas that you had for collecting donations or checking people in are gone. And, it's completely avoidable. So if you have, offline capability as an insurance policy, which allows your software to work whether or not you have connectivity, then it's there whether you need it or not. But the one time the signal drops, it prevents a last second scramble when that's truly the last thing you need. So, again, better to have it as an insurance policy than not lose and lose opportunities to have people make donations and do everything else you need them to do on the day of the event. We've also seen payment processes overcomplicate the giving ability of participants, and, make the organization, lose what they might normally collect on the day of the event and also have to spend a tremendous amount of energy after the event chasing down, commitments. So, you know, when an emcee at a at a gala makes a compelling appeal from the stage or guests suddenly, you know, do a paddle raise and raise their paddle, they expect a smooth transition transaction experience when they, are ready to pay. When it's tedious, takes too long, doesn't work because of connectivity, supporters get frustrated and lose interest, and they're probably going to, not make that donation at that point, and you're losing that donor exactly when their enthusiasm is at its highest. So, again, giving them mobile technology that can allow them that can allow the organization to roam among the crowd with secure, point of sale tools that leverage, payment methods that everybody is familiar with and expects at this point, like digital wallets and Apple Pay and Tap to Pay. It's about meeting donors exactly where they stand, whether that's at the beginning of a of a an event check-in or at a ballroom table. It removes the administrative barriers to giving. On top of that, using software that allows you to capture important contact information is huge when you get that information about each donor and are able to get that back into your CRM right away, which is invaluable. A lot of times, off the shelf payment methods, like Square will allow you to take a payment, but it won't allow you to collect additional information about the donor that you're gonna need for future, contact, for future stewardship. And, building it in with flat point payments gives you that ability. It also gives you the ability to reconcile everything in one place and not have your fundraising happening in a completely different place than your participant registration information and then making reconciliation a hassle and a and a a long process. But getting information into the, CRM right away leads us to a final, pain point that we hear about a lot, and that's weak participant retention. And a lot of that has to do with post event reconciliation and stewardship taking too long post event. Staff frequently face days or weeks of typing handwritten registration notes into its into Luminate or or RE NXT or wherever the data is living, chasing down, missing waiver signatures, manually reconciling mismatched financial records across different merchant accounts like I mentioned. It's also highly vulnerable to human error when you're talking about data entry and just burns valuable staff time and, when you're talking about getting that information back into the CRM so you can put stewardship into onto the forefront. And often that data is disconnected from Luminate and TeamRazor and, again, creates, delays and, extra work on behalf of the organization. When everything syncs automatically, reconciliation becomes a quick check rather than a multi day project. The funds are accounted for. Every donor detail is available where your team can act on it. And, you can, again, find streamlined ways to get that information about the donor into the system using things like automatic validation of emails and cell phone numbers, capturing, contact information via driver's license, barcode scans. You can eliminate paper entirely on the day of your event and then send real time receipts so that you can begin the donor journey from a place of trust and then, put them right into your stewardship programs immediately. Like I said, we've got some case studies to go through, examples of organizations who face some of the exact challenges, we've discussed and thought and use Team Raiser for event day to address them. The first is the Fred Hutch Cancer Center and their event, the Obliteride. I had the opportunity to talk with Danette Felt from, Obliteride from Fred Hutch last week, and, we'll share that conversation with you right now if Frey will, start that video. Hi, Danette. How are you? Hi. I'm doing well. How are you? I'm doing well. Thank you. Thanks. To get started, you could tell me a little bit about Obliteride, its history, and, you know, what the event looks like. The very inaugural year was in 2013, and it is to basically cure cancer faster. It's a, fundraiser, cycling event, 25, fifty, and one hundred mile, routes to choose from in one day. And a few years ago, the team added a five k walk and run as well. Talk about of getting people, you know, their packets, getting people, checked in or registered. What did that look like prior to us kinda joining forces? I remember we had, doing Excel spreadsheets. Like, I would dream about Excel spreadsheets. And so assigning big numbers to people and checking people in and that type of thing, it was, quite cumbersome. And, a colleague prior to me, was the one that actually sought you out and found you. And it's been just such a good marriage, you know, for what I do on behalf of the team. And so I get the pleasure of working with close to 200 volunteers over a very condensed time. I needed, need a system that is fairly easy for people to be trained on knowing that humans are humans, and so sometimes there can be blips. And, we needed something kinda dummy proof, and and so far so good. I just remember from being there things like the the lines when they started to build up behind a certain, you know, group of let last names. Can you talk a little bit about Yeah. That's great. We get lines. And, just that has been such a benefit. And they'll we'll have some extra people with tablets that'll be able to go out into the crowd and just start checking people in right there. And that's been really, really, really nice. And so if we can kinda move people through those crowds and with any sporting event, when you've got check-in and packet pickup, there's always gonna be lines. But if we can expedite those lines a little bit more quickly, so much better. Makes people happier when they can get on with their day and their party and their events. The the tap to pay, Did that seem like an improvement over the previous ways you were collecting donations? Yes. And I think the other nice thing is, being able to, have that go around so we don't have to get all of the data and information if people don't need a receipt. That's I think probably in the rewards tent where people picked up or when people were purchasing items, in the in the purchase, you know, those, that merchandise tent probably came in really, really handy. One of the things that we try to, you know, really emphasize is that you don't technically need to close registration because we're constantly syncing with Luminate, updating fundraising numbers and stuff like that. Yeah. You see that as as That's a huge that's a huge thing, for any sporting event, particularly in my world, never closing registration. And you're missing an opportunity of getting additional resources, financial resources when you close it down because sometimes it's a last minute decision. Again, especially for sporting events, and for Fred Hutch, for Obliteride, our five k fundraising minimum is a lot lower. And so that by and large is the largest, group out of out of the Obliteride or the five k participants. And you don't know you know, people register the day of. And so, if we had to have, registration closed down, that wouldn't work really well. So we are it it's definitely helping our organization, your organization. Great. So, just a few more examples, a few more case studies, that that we can run through, just to give you a sense of of how organizations are dealing with challenges that they have on the day of their events. One is the Stanford Hospital Foundation in in Stamford, Connecticut. They have a paint the town pink luncheon that has 540 guests. They arrive in a they congregate in a small space with no reliable Internet access, and they were previously using a paper based checking process and QR codes to collect payments, really creating bottlenecks, long lines, and big crowds in the lobby that was preventing them from getting into the event and starting the event on time, to lunch in the middle of the week. And people are coming from work, and they just want them to get in and and enjoy the event and then be able to go back for the rest of their day. So we equipped the staff with the tablets, shared their participant data in real time, supported Tap to Pay, and continued to work even though there was no connectivity, at the location. Staff, was able to circulate through the crowd to check people in, take registration payments, take, auction item payments, and monitor attendance live. And so they were, able to create a much more smoother arrival experience, and they were able to start their event on time and know that they had the right number of people in the room to get started. Another, organization we've worked with for a long time is the Melanoma Research Foundation. They manage more than 25 events across the country. They're each run by a local team. They needed a consistent process, while preserving flexibility for event specific merchandise and other details, event by event. So we created a repeatable approach for every chapter, centralized the payment, collection process, and, give them real time reporting that gives the national team immediate visibility into attendance and fundraising and, makes each event easier for the local teams to manage. The last example is the ride for Roswell in Buffalo, New York. They have a, a ride that has over 7,000 participants. They stage from four different locations, around the Buffalo and Niagara Falls area. And the process had previously required staff to assemble complex, participant pack ups, manually update rider rewards as the fundraising totals changed. And then, by moving all the information into the For Avente app, syncing directly with TeamRaiser, they eliminated the need for the packets, saved them. They, estimated about two hundred and seventy hours of staff time that they spent creating those packets and then also on the back end doing all the data entry from the day of the event. And then, we continue to, create create, features that evolve with their needs. So, you know, as they thought of things that could make things even better for them, we're flexible enough and talented enough, our development team is, to develop those things and give, people what they need and what they've identified as important to make their events an overall success. The last thing I'll touch on is is the event day optimization workshop. You know, every event has unique operational challenges, So this is an opportunity to to allow us, Blackbaud and Grassroots Unwired, to talk to you about your, events. We'll review, in these workshops your current event process. We'll identify opportunities where you can reduce manual work, improve the participant experience, and ideally raise more money and and generate better participant retention. At the end of the workshop, we'll create a scorecard for you, which will, kinda run through all the the day of type of activities that you need to be, participating in or or taking place and give you practical next next steps for improving where there needs to be improvement. But we're just curious kind of about your current state, on those challenges and what you're seeing just so we can get a a level set on that. So I appreciate you jumping in there. Oh, perfect. Okay. Go ahead. So yeah. So one thing I'd love to be able to offer to you all is, we have an ROI calculator that we've built. Actually, it's more of an uplift model, if you will, that looks at sixteen year benchmark studies. So I've got some fake data in here. We raised, you know, two or 2,500 or 20 $250,000, sorry, online, and that starts comparing those numbers versus what we see across our different events. So when you blend do it yourself endurance, run walk ride, it comes out to $232. I can compare this to just run walk ride, just to endurance, so that'd be marathon, century rides, and so on. But what we're able to do is we can look at areas of improvement. So most generally speaking, when you give us your numbers, they're gonna be doing better in some other areas than our benchmark, obviously, which is average, but it allows us to go in and be able to look at things that we should be concentrating on. So teams are where, you know, money comes in. So right now with this new example, we've got, you know, 2,000 teams that are in here. What would happen if we raised the number of members on the team? Right? So, if I if I raise this up to where we were with the number of teams where it should be should be one forty four based on, you know, our metrics, that's that's an additional almost 100,000 a year. Or Or if you're able to raise a little bit more money per team, so 2,000 teams, if you get each team member to raise 20 more dollars, what would that be? So $200 more, again, $20. So it allows you really, really quickly to be able to look at the the things that you can control and the things that are low hanging fruit, basically. Right? So raise more money per fundraiser. How do we do that? Hey. You know what? We connect them to Facebook. We get them to personalize their page. Send out fundraising email. Right? Use the mobile app and etcetera. You know, turn work with us with, double the donation. Just start, you know, doubling the donation and and the size of things. Even things as simple as the fees. So I don't know if you're familiar with this, but you've got donor cover with which is your traditional cover. If it if it's not selected to yes, it's about a 33%, hit rate. When it's defaulted yes, it's 80%. We also have something called blackbaud cover. Blackbaud cover guarantees that we will, cover every every fee under $3,000. That's credit card processing. But with with peer to peer platforms, you obviously have that platform fee as well. So custom cover allows you to go in and and set your percentage. Hey. Do you will you cover x percent of of, the fees that we're trying to push through this year? So, again, not to get too involved in that, but, contact your salesperson. Is it gonna be worth time to contact Russ, and can we afford because one of the things he's talking about is experience. Retention is one of the numbers that's on there. We know that if someone comes back the next year, they're gonna raise raise, three times more than they did the the previous year. So really important outcomes and metrics there. Great. Yes. So, yeah, that and that is able to be projected onto a a screen of the event, TVs at the event, however, you wanna display it. Perfect. Perfect. And I don't know if this is a Troy question or a Russ question. Oh, you know what? I'm sorry. Yeah. I always, say Luminate when I'm talking about Team Razer. Luminate's the platform the team ray the razor lives on. It is sold separately, but everything we talked about today is Team Razer. So all the new enhancements that you're seeing coming through, that's all going to be, part of your software as a service, so it's all free. Okay. So, Alicia, if that answers your question, great. So it's, a little bit different than razor's edge. These are razor's edge questions I know. So, Russ, I don't did did does your product have that? Is the ability to, so if you get a stack of checks from a, a team captain, are you able through Grassroots to to have them incorporated? Yeah. So that they would just be done at the point of checkout, for that participant. If it'll it's all going to one participant, it would all just be entered to that donate to that one participant, and then all of that would be, pushed up to their TeamRaiser records so they get credit for all the checks that are that are entered in. One of. the earlier questions that we answered was that was in the q and a was, will the, will these features automatically convert into Razer's Edge in terms of mapping and everything? So this is not like what we saw with database view and web view with NXT. This is the exact same product. So all we've done is we've put a skin on top of it for the what we're calling vision.
