I saw some back to back Boston's in there. These numbers are continuing to climb just for a moment. So as people come in, we'll go ahead and get started. Couple Melbourne, Florida folks. Alright. Alright. Those seem to be leveling off, so I think we can go ahead and get started. We're a minute in anyways. Good afternoon. Good afternoon. Good morning. Good evening. Wherever you're joining us from. Again, we appreciate you, coming to this presentation today. My name is Ryan Turner. I'm a customer success manager here at Blackbaud. And today, we're here to talk about Blackbaud tuition management and some of the recent upgrades, to the parent experience, particularly, for this software. And just laying a couple of housekeeping items out there very quickly. Y'all have found the chat. I appreciate you jumping on in there. You'll also notice over there the question and answer section. I do ask that if you've got questions, toss them into the q and a. If you put them into the chat, sometimes they can get lost in the shuffle. We don't see them. But if you put them into the q and a, our folks in the background will be able to see them and respond as we go forward. Speaking of which, I would like to introduce our speaker for the bulk of our presentation today. That's Jamie Lyons. She's right there below me in the images. And I'm gonna pass it off to you to do a quick intro of yourself, Jamie. Great. Thanks, Ryan. So my name is Jamie Lyons. I am the senior product manager for tuition management. I have twelve years of experience working on tuition management going back to our old smart tuition days. I've worn many hats over the years, but I've been in the product management role now for the last three years. I was peeking in the chat as Ryan was talking, and I saw there's lots of familiar names and locations from friends, recent and old. So I'm glad you guys all were able to join us today. Now is also normally the part where I would tell you a bit about kind of what I do outside of work. And, I have an eight year old little boy, And he is involved in all sports, all of the things, all of the time. So I don't really have a whole lot to tell you with what I do in my free time because most of it is spent parting him back and to all of his practices and games and all the things that come with that. So that is the bulk of my time. Well, I'm not here doing things for the tuition management product currently. To dive right into our content for today, the tuition management product too far. Thanks. Ryan, I think we both clicked the same time. We've done a whole lot of upgrades and changes, specifically around the parent experience over the last nine ish months, give or take. Really wanting to enhance the end user experience and make things easier both for our schools but also for our parents or payers. You'll probably hear me kind of refer to them interchangeably throughout the presentation today. But what we wanna do, the goal of our webinar today is to get that information and all that goodness out into your hands so that if you feel that these upgrades and changes that we've made in the product are the things that you want to utilize that will make your lives easier, that will help your payers and your parents. We want to make sure you guys are fully equipped and understand what they are, why we've done these changes, and encourage your parents and payers to go ahead and utilize those. So I will be going through a couple of slides just to kind of give a high level overview of some of these, and then I'll be doing a live demo of the last two things that I have in this list. So up will be our enhanced payment experience. We've made a whole bunch of changes to our entire kind of end to end payment process from all the different places that a parent can go in and make a payment. So we'll talk a bit about that. We've also changed up, what I like to refer to as our big three communications. These are the three communications that our families receive the most. And bear with me. I'm getting over a cold and I saw the cough, so hang on. So sorry. So those communications have gotten a whole face lift and change. Oh my goodness. And, I'll talk to you guys more about that. And, there's also the additional parent invitation, custom key details, and payment schedule. I'm sorry. Bear with me one more It's like, once you get that tickle, it doesn't go away. I'm good. Thank you, Ryan. So if you get into the payment experience so this enhanced payment experience, we have moved all of the places that the parents can go in and make a payment to use Blackbaud checkout. So if you are another, product if you have another product of Blackbaud where your parents or your payers are making payments through us, they've likely seen Blackbaud checkout before. So by putting tuition into Blackbaud checkout, this now offers a uniform experience. It's something that they're used to seeing across all of their different Blackbaud products. It's also kind of a more updated modern user experience. It gives us some more security around the way that we store the credit card data in our database behind the scenes, and it also helps us make sure that we are staying super up to date and compliant with PCI regulations, which are, of course, required through the government for any company that is processing credit cards. So not like the most fun exciting update there, but really, really, really important to know that you have kind of top of the line security measure in place along with a uniform experience that your payers are kind of used to, and it's fairly simple and straightforward to follow. So that is out right now for all of our different places. If you use buy no give now, it's there. It's also there in the parent site, in in the enrollment site, and through the contracts integration. So it's out there. I see there's a couple of questions kind of popping through as far as kind of, like, where does this live, how does it work. It's all the different payment options that your school previously offered are still an option through this. It's just the actual method of them making the payment looks a little bit different. It's kind of going through stuff differently behind the scenes. But if you offered credit cards before, we certainly still can take credit cards. Nothing changed there. If you offered shopping cart before, you still can absolutely make payments through shopping cart. There's nothing that you need to change. It's just the actual kind of buttonology through the whole process is a little bit different. So that's specifically the top half of that section where there's Blackbaud checkout. We also upgraded our integration that we have with a party vendor called Flywire. So we previously had Flywire where the payers will go in through Flywire through our parent site. There was, like, a link over where it took them there. And they're able to process payments using international currency, using their international bank accounts and credit cards. Whereas right now, the it wasn't offered through the regular payment options. Here's the tickle again. Bruce. I'm sorry, guys. So we enhanced that integration because previously, they would have to go through and do that. The funds would then get sent to the school, and then it would be on the school to then reflect an in school payment on the parents, social management account when you receive those funds. In between that whole process, though, when they made that payment through Flywire and when you guys would add that in school payment, the parent didn't really know where that payment was. Is it floating out in space? Did it go through? Did the school get it yet? Nobody knows. So now with this new enhanced version, the payer still can go through the, parent site and make their payment through Flywire. And now what will happen is it will reflect directly on their account as an in process payment. So if they know, hey. It went through. Good. We know it's not lost in space. Then from there, it will go through it'll get deposited at Blackbaud, and it will go through your normal remittance schedule that you have. So it would be part of your regular funds transfers and all that. No additional manual effort from you at the school. So that is another new benefit that is also live right now. So if you are a school that has international payers, a boarding school, something like that, this is definitely something that we would encourage you to use. Even if there's only one family that uses it, there's not really extra charge for this through us. It's an option. They can go in if they wanna use it or not. But it is just a matter of giving us a call, letting us know you wanna turn this on, and it's a little flip of a switch, and it'll be instantly put on for you. So that is our Flywire. We should have instructions for Flywire if you'd like to find them. I believe there is a KB article out there, but I will leave that to our q and a helpers to to provide for you. Going into the next set of upgrades is our improved communications. So this has been out in an EAP for a little bit now, and we'll be going live next week for all of our schools. So if you guys are not currently part of that EAP, this will be new for you starting next week for all of your payers. We've updated, like I said earlier, the big three emails. So our welcome email, that's the email that the parents receive kind of after enrollment but before their payment is due. That goes through, like, hey. Here is your how your account is set up. Here's how you make a payment. Here's kind of some of the fee structures, all that good stuff, kind of giving them an introduction to tuition management and what the expectations are for their account for the year. We've also changed the prior to debit email. That's that email that goes out, before an automatic debit will occur and the e invoice. All three of those emails got very similar updates. They all kind of now have this uniform header and footer layout, that you can see kind of in those the middle two the middle of the bottom screenshot there, which I will talk about a little bit more in a We also updated within the update parent and student section. There's now an option where if you have a secondary or a party parent on the account, but maybe you don't want them to be directed or kind of introduced within the within the email saying dear so and so and so and so, you can actually click a toggle button to include that person's name or not. So we've heard in the past that sometimes if they're, like, a divorced family and they're sharing an account and, you know, it's only addressed to mom, dad says, well, it wasn't addressed to me. So now I don't have to pay. We can now control who is on that address line in order to make it very clear that both parties are responsible. All three parties that are on the account are responsible. So that's a little toggle right within the account. It is defaulted to being on for everybody. So if there it that should be okay for most if there's mom and dad on the account. But if for any reason mom and dad are on there and then the secondary person shouldn't get the email, you can go ahead and turn that off for that particular account. And then I think the most exciting, update to the improved communications is anytime refer we reference logging in to the parent site for tuition management, We will actually either tell the parent to go to the actual parent site URL if you are not a customer that uses the resource tile and the single sign on, or we will direct them to the resource tile if you do have that set up for your school. So if you are a customer that does the contracts integration through enrollment management and you guys use that single sign on, we now will direct the payers to log in through the single sign on through your direct link rather than to go to the parent site. We've heard in the past that that kind of messed up BBIDs and confused people and caused kind of a little bit of chaos. So we wanted to go in and make sure that we kind of cleaned up that a little bit. So now we're telling people to go to the correct place to log in, and that should hopefully save a whole lot of money. So going a little bit further into the actual layout of the email and the changes that we made within the emails themselves, if you have not already provided us with the school logo for your school, definitely encourage you reaching out and providing a school logo. That will be at the top of all these emails. So that way, it's kind of branded to your particular school. Then below your logo will be that little green line, and then it will break down the information specific to that particular payer's account. So it will show your school name, the date that the, email is being sent, what the school or section year is that the email is pertaining to, the specific family ID, and then it will list out the students that are on the account and with their grade level in the little parenthesis. So in the example that you can see in my screenshot, you can see their sample student with a little five there. That student is in grade, and that's why it's showing the five there. If there's multiple students on the account, it'll just be a little comma and then next kiddo, next kiddo, and so on and so So that is right at the top of all three of these emails, uniform for everyone. We also added in at the bottom three, technically, four new links to helpful information. So there is a link to the contact us page. So if the parent needs to give us a call and they can't remember our phone number, that will be there. There'll be an address. There'll be email. There's all other ways that they can contact us are listed in that contact us page. There's also reference to our terms and conditions, and there's also a parent FAQ document that is linked to from there. So anytime they get one of these emails, if they need to go back and reference any of that, it's just a little click of a button away, and they're there. And then another thing, if your school provides us a copy copy of your school policy that maybe outlines, like, withdrawal procedures or requirements to, if somebody falls behind and if this is the kind of penalties that you may see, so on and so if you have that set up in a document and you want to send that over to us, we can actually upload that right into our system, and it will be linked at the bottom of these emails for you. It also, if you utilize the enrollment website to enroll, it can be reflected there as well. So that is kind of the uniform changes across the different emails that we changed. And then we have more updates. So this is kind of more of a view of what an actual email looks like now with these changes. So, again, you can see that header in that footer area that we just talked about are, shown kind of with the email as a whole now. One really, really, really, really huge thing that, with this particular, update that I wanted to make sure we did was we really, really wanted to call out if a parent was past due. Because we found that a lot of times people didn't understand that their past due balance and their current due balance are kind of different things, and they need to make sometimes two different transactions in order to bring their account current if they don't wanna pay everything all in one lump sum. So you can see in the email example here, there's that red line of text. That's letting them know, hey. You have this past due balance that you need to take care of before you go and make your account current and have the rest of this balance that's due. So that calls it out for them. Hopefully, that prompts them to make that payment ahead of their next due date so you guys are getting your funds in a little bit more quickly, and eliminate some of that confusion as well. Another update that we made in this email too that I think is really, really helpful for the payers is that we broke out the actual billing breakdown of what's due. So instead of them having to log in to the parent site, say, oh, I owed a thousand dollars. What is that thousand dollars made up of? Let me go log in, then they have to go log in and go look at it. They don't have to do that anymore. It's right there for them in the email. Of course, there's always the option if they wanna download their invoice or still log in to the parent site. We give them the shortcuts and the ways to do that just the same way we always did. But we take a little bit of that guesswork and that extra clicking and searching for things out of it. Because I know with myself, you know, I look at an email, I read it, I file it away, and then I forget about it. So I don't wanna have to go through all that extra hassle of having to log in and go figure out how to do things if I don't have to. So we solve for that with the new email structure as well. And then lastly, we updated some of the specific messaging within the emails to, try and and highlight kind of the the typical questions that we receive a lot and the points of confusion that we would see a lot to try and eliminate that and see a call to the business office as well as to our our payer contact center from payers, trying to give them that information up front. So as long as they read those emails, I think a lot of their their typical questions and concerns will be resolved in the new, email layout. Okay. Next up is our additional payer invitation. So this has been honestly something that I have dreamt of putting into our products since before I was in product management going back those twelve years. This new change that we made allows a user that has access to an account to invite any other user that they want to. So if mom already logged in, she set up her BBID, she's good to go, and dad now wants to also log in and everything is good between them and she wants him to have access. All she has to do is log in to that parent site, and there's a new access tab underneath the, my profile information. She just needs to put in his email address and invite that user, and then they just need to go in, open an email, create or connect the BV ID. If they already have one, they just have to connect it, and then they have access. It's that simple. If for any reason the invited user should no longer be invited, let's say, maybe a divorce happens or a parent invites the grandparent that was to make a one time payment towards tuition and then they kinda wanna get them off the account, they have full control over that. There is a remove button that as soon as they click that, kicks them right back off the account as easy as it was to add them. It takes them right back off. So should anything change, they can totally remove that access from the other users. However, an invited user cannot remove the original user from the account. So if grandma came in and started clicking on stuff and accidentally did something, she won't be able to remove mom if she was the one that was the original user of the account. If for any reason, a parent is unable to do this, can't figure out where to do this, the school users also have access to invite and remove users through the access button under the update parent and students folder in the school portal. So you can go right in, and it's pretty much the same thing. You would just enter the email address that they wanna have invited, click invite user. That person would then get the same email and have to do the whole process again. And then you can also click the remove button and it kicks them right back off if for any reason the parent needs that to happen. There's also an audit trail that the school users can see from within the school portal to see who was invited when when they connected their BV ID and when they've been removed. So if ever there's any conscience or a difficult situation, you have an audit trail of that. You'll be able to review that and see kind of what's going on. So that is the additional payer information or invitation. Apologies. And then at this point now, I am going to show you guys the custom fee details. And I believe what I need to do is stop sharing and then share my actual screen. So bear with me one second while I go ahead and do that. Just need to log in. I see so many questions coming in. I love that you guys are so interested. Thank you to my helpers in the chat. Bear with me one second. I was talking for too long, so I got logged out. So I have to log back in. Hey. No worries. And, yes, those questions are too fast and furious, but the team in the background is answering them just as quickly. Awesome. Alright. I think I've got it. So let me share my screen. And, Ryan, if you can confirm once everything pops up, I will start talking some more. Families and students were great to assist you. Awesome. Thank you so much. Okay. So for the, custom fee details, this has been out since, I wanna say, January, February time. So it's been out in the wild for quite a few months now. So some of you, this might be old news. But this has been a long time coming and a really, really, really big enhancement. So I wanna give it some time to shine. So what the custom fee details are is actually the ability when you guys are going in and adding billing on payer accounts to add in a specific level of detail that pertains to that particular student for that fee. So I kind of prepared a little bit of an example today for us with, my little pretend account here, for my grader and my grader, which is all pretend. And as you can see, I've been very past due on my test account, so ignore all of that. But what I have done is, I created a sample of the self, service import. That is something that's been out for quite some time. I know a lot of our schools are utilizing that. This is kind of the easiest way to get that information into the system, but I'm going to show you another way as well. So if you guys don't use the SSI or don't want to use it, don't like it, whatever the situation may be, there are other ways you can still use this new feature. But what I've done in this example here, I got a template of the import. I deleted all the other accounts because I really only wanted to focus on my little test account for our scenario here. And in our example, I have this fee that's called field trips. And I'm sure for most of you, the graders and the graders in your schools have very different field trips. So being in New Jersey, I kind of thought back to field trips that I went to when I was in school, and, I use them kind of as real world examples here. So, for the grader in my sample account, our field trip for the year is to go to the Liberty Science Center, which is really cool and I highly recommend if you ever get the option to go. So I have that in here with the custom fee description of Liberty Science Center. For my little pretend grader here, their field trip is to go to Broadway to see the Lion King. So, historically, in order to have that level of detail in for the fee, you would have to create one fee for the graders that's called Liberty Science Center, and then a separate fee for the graders called Broadway Lion King, and then a separate fee for all the other different grades that have all their own unique different field trips that they're going to. With this new enhancement that we've made, you just need the one field trip fee, and then you're able to put in that custom fee description for the individual scenario for whatever the grade may be. Another use case for this is, let's say, you have tutoring or some kind of sports lessons, things like that, you could just say math tutoring, and then you could put in the custom fee description the different dates that the student attended tutoring. Or if they have tennis lessons, the different dates that they went to the lessons. You're able to put that level of detail very specific to the individual student in association with a more generic fee. So that way, you don't have to manage 80 bajillion different fees in your system the way that you've had to in the past. So what I've done, a little bit of, like, cooking trail magic. Sorry. Lots of talking. So I put the this SSI together. So I put the SSI together, and I actually ran it through the whole system so you guys didn't have to watch me do an SSI. So now if you go into my family's account and we go over into the edit billing details, you can see that both of my students, Jackson has a field trip fee. Sean here has a field trip fee. There is a general description just called yearly class trip. You can see they were both billed to be due in the month of February. But then if we go down here into the fee audit trail, you can see that level of detail that I added in through the SSI when I did this yesterday. That's key because that will also show in the parent site for the payer when they log in. They can actually click into the billing details, and they will see that explicitly there. It will also come up in those new, emails that we were just talking about where it lists out the different billing that's due. It will say field trips, Broadway Lion King. Field trips, Liberty Science Center with the information that I've entered. So if they're like field trip, where are they going this year? What's going on? Or, hey, my kid didn't go to tutoring that month or how did you get to that amount? You can put that level of detail in those details and save yourselves phone calls from confused parents. So just to kind of show you what it looks like, I'm going to go in and I'm going to impersonate my little account here. Okay. So now I'm in this is the parent view if anyone hasn't ever logged in as a parent before. This is what the parent sees when they log in. And remember, we said I added those two field trip fees into the month of February. So if I click on the amount in the month of February, there's that detail right here. This is how it will be also with the invoices and on those emails. So they will see literally exactly what you enter into those few details. So if there is, like, an internal note that you wanna have, you can still put that in the reason that you're adding the the billing, but you don't wanna put it in the details because the parents see that. So just be careful when you're entering that information that you're entering it in the right field, because this is 100% out there for them to be able to see. If for any reason, let's say, the Liberty Science Center trip, it gets moved. If for whatever reason, there was a conflict, they couldn't go on that date, so we wanna change the date. If you click into the box now that has the amount, you see the little pencil icon pops up and here's the description. Now instead of going on the fourth, they're going on the fifth. I can save that. And then when I go back in let's see if it works faster, refresh your fully log back out. There's the change there. New updated date for them right away. So now they're able to edit what's in there. So if there is a situation where you typoed or something has moved or something needs to get corrected, you can go ahead and do that. We are also working on it being editable if you update the amount and need to edit the description at the same time. So let's say something happens in grade, get the bonus trip, and they're going to Liberty Science Center and the zoo, and now it'll be a $100. You'll be able to go and do those uploads and add that and adjust that as needed. But this is always accessible for them. They're able to go back in and see it. So if, you know, even though this hasn't happened yet, they can go in and and see that level of detail. That is the custom fee descriptions in a nutshell. And then last but not least, is and that is out in in the wild again just, to know. The last thing that I'm going to show you guys right now is just actually entering EAP right now. So, just as a note, I'll put my email back up at the very end. But if there is anybody that's interested in joining the EAP for what I'm about to show you, please feel free to reach out to me and we can get that set up for you. But what that is is the payment scheduler. So I'm going to pop up myself and my parent account here. And, again, this is the parent account, the parent view for when they log in there. And what we've added now is the ability to preschedule a payment in the future. So, historically, right now, if a parent was to log in and they wanted they know they get paid on the fifteenth, let's say. Today is June 10. They know that they get paid on the fifteenth. They want a payment to come out on the fifteenth. They cannot go in today and schedule a payment to come out on the fifteenth. They would have to just remember on the fifteenth to go back and log in and go make a payment, which is not super convenient for anybody. I know I like to do things kind of all at once, pay all my bills, and then not have to think about them again until the next month. So now what we're able to do is actually allow the payer to schedule a future payment. Theoretically, if somebody enrolled and they wanna go in and preschedule payments for the whole year, they can do that. If they wanna make half payment from their credit card and then the other half from their bank account on two different dates, they can do that. If they wanna make 12 different credit card payments in a month from different credit cards in order to pay in full, they can do that. The key though is they are still subject to get any kind of, fees. So if your school has, the follow-up fees associated with their school late fees, if they were to process the payment through a bank account and that failed, they still would get all the normal fees. So they have to make sure that they're paying in full for the amount that's due for the month, but they theoretically could make 48 different payments for a payment that's due on the fifteenth if they wanted to. As long as that full amount is paid, that's the goal. So the way that they go about that, the way that they do that is in the parent site under the credit card, debit card, or bank account option, there is this use save payment method. It, of course, has to be a save payment method because we need to have it on file if we're going to debit it. But when they have that selected, there's this new schedule feature payment option. So when they do that, you'll see that there's this little box that pops up down here with the payment date and the amount. They can set the scheduled payment date. So, again, in my hypothetical situation, let's say I got paid on the fifteenth. So I can schedule it to come out for the fifteenth. What will actually happen is what would happen normally with an auto debit. It'll go in process on Friday, but actually debit on Monday since it's the weekend. And let's say I wanna pay $10. And let's say again I know I get paid again on July 1. And that one I wanna pay a $150. And then I get paid on July 15 again, and let's pay another $1.50. I can do that to my heart's content, however many times I need to. Once I'm all set and comfortable with what that looks like, I'll click continue. Oops. I didn't pick my my payment from the top. Sorry. So, of course, you have to pick the card that you're debiting. Click continue. They will get a list here, showing the session year that they're in, the account, what card it is that they're debiting, each of the different payments and the dates, any fees that may be associated with that payment, the total that will be debited, and it'll list it all out there for them. As long as they're good with that, they click continue, and we set those payments up into their schedule. They get a confirmation. They also will get a, an email with this summarized on it as well. So it'll say, like, thank you for scheduling your payment, and it'll list out the payments that they scheduled. They also have the option to print this for their records if they want to. It's up to them. So now with your schedules, if I log out now, I can kinda set it and forget it using old old commercial language. But it's done. They don't ever have to log back in again, and we'll go back and take all of those those payments on the dates that they tell us to. If for any reason something was to happen and they decide after the fact, oh, I don't want that payment to come out anymore, they can come back in here. And under the payment section, they can go under view payments. And they can see the top section is all the payments that we've actually pulled or attempted. Since this is a test account, it looks a little crazy. So you wouldn't see kind of these these canceled payments quite as much, I would hope, at least, in your schools. But what I wanna show you guys is the scheduled payment section down here at the bottom. And that is the list of all the different scheduled payments that are reflected on this account. So you can see the three that I just made, the $10 for the fifteenth, $1.50 for the first, and then the $1.50 again for the fifteenth. I had previously been messing around in here, and I made another one for August for $50. So they're all kind of sitting there waiting to be scooped up and debited for when that time comes. Again, if there's a reason that they don't want that to happen anymore, it's literally as simple as clicking the cancel button. We ask if they're sure. Yes. I am sure. All gone. So payment was successfully canceled. We do still keep it down here so they can remember that they tried to do that scheduled payment before, but it does allow them to go ahead and cancel it, and it's gone. So come the July 1, we will not go scoop that $1.50 up. But the other two payments that were made at the same time and scheduled at the same time are not canceled in association with that one. We do have a couple of safeguards in place with this for payments that failed during the NACHA, verification. So that pertains specifically to bank accounts. If I preschedule, like, 50 payments through my bank account, but it's the time that I'm using that bank account, it'll go through that verification process. If for some reason it fails in that verification, we will cancel all the scheduled payments that were made using that that account because, of course, they're not gonna go through it that it the failed validation. With credit card payments using this, of course, we know credit cards have expiration dates. If the expiration date happens before a scheduled date is so if I tried to schedule that July 15 payment but my expiration date is July of twenty twenty five, it's not going to let us do that for August of for June of twenty twenty five. It won't let them schedule a payment for a date past the expiration date associated with the card. So for that, they would get an error message and ask them to just enter a new card or update the card on file. But aside from that, those are really the only limitations there. Like I was saying before, they could make credit card and debit card payments. They can make bank payments. They could use checking and a savings. Whatever combination of different payments that works best for their financial situation is to them. Another aspect of this too is that the school can control this as well. So, again, popping back into my family account, school users will be able to go under the payment history section. And there's the secondary section here now. Payment history are the ones that were fully, like, attempted. Down here are the future ones that are scheduled. So, again, we saw before that some of them were canceled. So this is that July 1 one that I was just messing around with and canceled. We have the audit trail that it was canceled. We are enhancing this to actually, show who canceled it too. So in that situation where, like, if mom invites dad and then dad goes in and cancels the scheduled payments that mom made, we'll be able to tell who did what. So that way, if there is any situations that occur, you're able to kind of piece together what's going on there. So this is still a little bit of a work in progress, but the bulk of the actual, feature is complete. But for whatever reason, if the parent comes to you guys in the business office and says, hey. I need that payment to go away. How do I do it? What do I do? You have full control to go in and click that cancel button. So just again, for example's sake, I am sure you wanna cancel the scheduled payment if you're sure. Goodbye. And it's done. So we won't scoop that payment up either. That is scheduled payment in a nutshell. I didn't wanna interrupt, Jamie, but, we did get a contemporaneous question. When will this be live? So the scheduled payments specifically are in EAP right now. So if you want to be part of the EAP, it could be live for you as soon as, like, like, tomorrow. If you'd rather not participate in the a EAP and wait until every detail and every little, kink is worked out of it, we're hoping, that we've caught all the bugs and got it all sorted, and it'll be ready to go within, like, a month or two. But in Jefferson EAP today, it's hard for me to pinpoint exactly when just yet because it's still so fresh and so brand new. But, like I was saying in q three? Q three? Yeah. What's the next order? I if everything goes perfectly and flawlessly, I would say by the July, I would say by, like, September, like, back to school officially, if there is anything that really needs needs to be fixed. But, that's that's case worst case scenario. So hopefully so, again, just let me if I can switch to the slides, let's see if it'll let me do it live. Oh, it won't. Alright. Are there any that there's any themes or anything that we should address that we can kind of I've got one or two queued up that I think we, wanna ask. Because it's sort of not below to say it's blowing up in the chat is is overkill. But somebody was asking full so Flywire will be ready in two months, and, it was responded to that Flywire is available now, followed by the question, what is Flywire? So Flywire is, the international payment vendor that we use. So, it's all embedded within tuition management. So if you go into the parent site, if it's enabled for your school, but where we saw just now when I was demoing where it says, like, credit card, debit card, bank account, there will be another tab in there that says international payments. That's all connected to Flywire. That's where all the international payment stuff will happen for your payers. They would go in, enter the payment information, and then it would do its thing from there. So it's just an extra tab that they'll see from within the parent site. And you are correct. That is live now. If it is something that a school would like to have turned on, reach out to support, and it's just a matter of kind of flipping a setting on for you guys. So Love it. Love it. That is is probably tomorrow. Alright. And Tim is asking if this will be recorded. This is being recorded. If you're registered, you'll get a link to this recording within generally about a day. But I had another couple of questions that I wanted to throw your way that, the team in the background thought would be sort of good. Okay. For the additional payer, can the party payer see the details on the account? If they're an invited payer, yes. So if if it's as it's mom inviting whoever it may be regarding mom, dad, grandma, neighbor down the street, whoever it is, when they're invited, they can see the details on the account. So they'll be able to see the billing by the month. They'll be able to see if there's any late fees or outstanding anything. Like, they'll they'll be able to see the account the same way that the main user can. There is a air option within the account itself where, like, we can add, like, a name and their email address, and they can get some of the communications. But that's different than the the email invitation, like, access to the account. That is Now this one, we may need some clarification on, from, Gabrielle. But how does this affect automatic withdrawals? Does that make question makes sense, or do we need some more guidance? Alright. You're not, and I like it. So I believe that's pertaining to the payment scheduler assets, and the way that it would affect any automatic withdrawals. If the parent is on auto debit and just for fun's sake, let's say that their their due date is the fifteenth. If they're on automatic debit and they make a payment before their auto debit, we'll only go back and debit whatever is remaining. So if they have a thousand dollars due on the fifteenth and they pay $500 on the tenth, we'll only scoop up that remaining $500 come their due date. If, though, they schedule a payment on the seventeenth and their auto debit is on the fifteenth, we'll still take their auto debit and then we'll just take whatever that scheduled payment is and it'll be like a credit for the month if if that's the case. So the auto debit will still happen as long as there's some kind of a balance due for that particular month. I think that answers it as succinctly as possible. Alright. Melanie had a follow-up on that. Will the additional payer to the previous question. Okay. Will the additional payer see anything other than that tuition account information, like grades, etcetera? No. So that additional payer, when they're invited, they only have access to the actual tuition management parent site. So it's only the things pertaining to tuition. So they won't see any grades. They won't be able to see attendance or anything that's housed in the other Blackbaud product. It's only what's very specific to that particular tuition management account that they can see. Alright. Sounds good. Did have another one. How do we check to see if we previously submitted a logo? That's a good question. I would say I think it's just through support, but they would be able to tell. I don't think that that's something that they and school would have direct access to review on their own. So I would say shoot a message over to our support team, and they can definitely verify that for you. Love it. And, is I hope it's okay that I'm just peppering you with, with what we're identified. Do parents receive a reminder email ahead of a scheduled payment? Yes. They will. So it kinda follows the schedule of the auto debit reminder. So it will be set ten days prior to a scheduled payment. If they have a scheduled payment that's less than that ten day window, they do get that confirmation at once they schedule it. So we're not gonna bombard them with extra emails after that. So if if I schedule the payment for two days from now, they're not gonna get a reminder for that because they're getting that confirmation today. But if it's ten days or more out, they will get a reminder saying, hey. Remember you scheduled that payment. We'll be debiting it for x dollars on x date. So go get that. Alright. And what I'm seeing it from a couple different, a couple different of the attendees on today, all about, how are parents notified users made aware of these changes? I see that in the chat. I see that on a couple of questions. So what sort of communications does Blackbaud do communications? Is that left to the school? Typically, Blackbaud doesn't communicate directly with the parents. A lot of it is up to the schools. If you guys do want your parents to utilize this information to let them know. If you want some guidance from us on kind of the best way to communicate it to them, I'm sure we can work together and kind of have, like, a general, like, school template, like, saying, hey. Blackbaud has these new things and then list it out for you guys. I'm sure that's something that we can create. If you don't want to rely on us to actually write it up, if you wanted to send something out, I definitely encourage using the, the email parents tool that we have within the parent. Or within the school UI under the the families and students section, there's email parents. You can create an email and then email it out through our system to all your payers saying, like, hey. Blackbaud has done all this cool stuff, so check it out. If you wanted to go that route or, like, if you just wanna, like, highlight Flywire for specific parents, you're able to kind of pinpoint who those people are using that tool and send out a custom message of your choice. Yeah. So that would be a good way if you wanted to put that in your hands. I do know our parent contact center too. I, of course, always partner with them and let them know when we're doing this. So if a parent by chance called into the parent contact center and said, hey. You know, it's really annoying. I can't schedule a payment for next week. They'll respond back saying, hey. Actually, now you can. So they are trained on this. They are aware it's happening, and they will kind of drop that into conversations with the parents when it applies. But, overall, though, the communication would kind of fall into the schools if you wanna push that out to the pickers. Absolutely. Sounds good. I totally get that. Seeing a lot of interest in, the chat and q and a for, people that have at least a template, that maybe Blackbaud could provide. So we appreciate that feedback. We'll take that back internally, and see what we can do with that, see if we can provide something in that vein. Couple others here as we as we wind up with about ten minutes left. Yep. Yeah. That's fine. And people are very curious about what these parties can see. Can they see payment methods saved? Yes. Okay. Important distinction there, I think. Yes. I'm looking for some others. The team in the background is flagging. Okay. How will the schedule future payments be affected by late fees? The scheduled payment itself would not have a late fee associated with it. It would be if the amount that's due for the month is not paid in full, that's when the fee would come in. So if a scheduled payment failed or something like that if it is through a bank account, it will get a bank fee. If it is a credit card, there are no fees if those payments are not successful. But it's all around if the amount that's due for the particular month remains past due after, it's it's due, then then it will follow kind of the standard fee schedule that you have set up for your school. This is just more so giving the payers more flexibility and more options to make that payment in piecemeal if that works better for their schedule. Yeah. Definitely get it. Another one here, when a school cancels a scheduled payment, does the family get an automated email? Is notification sent? I'm trying to remember. I don't think there is, but I think we probably should. So I'm gonna make a note of that and make sure that we have that. Alright. I appreciate that. I'm looking for others here, seeing if there's any flagged. I do see something in the chat. Melanie, says we will send a draft of a school letter to families in a follow-up email. Wonderful. Yep. Alright. Very good. One other thing I think I didn't mention while I was talking, both the custom fee details, that one is out and live right now and the payment scheduler, we are creating reports for them both, so that way the schools will be able to go in and pull a report of, hey. All of these billing items for all of these families have the fee details. This is what the detail says. So that will be in one big report. We're working on developing that right now, and we'll also have another report for the payment scheduler showing all the payments that have been scheduled for all the payers across your entire school. So that way, you don't have to go kind of hunting into each individual account to see what's going on. We'll just do one big old report for you. Alright. Yep. I'm re I'm refiltering in the back end. This is a forward looking question, so I'm not sure that, we'll have the answer for it offhand. Okay. When will the program be updated so that past due balances are rolled forward? Let's say January payment failed. Please roll it forward, so it's auto drafted along with the February payment, and doesn't just hang out unpaid. The question makes sense. I just don't know if we know when. Yeah. We've not got anything on the road map for that right now. There's kind of a dual kind of two different kinds of thought around that, figuring, like, if they if they were unable to make a payment in the prior month, taking that amount and putting it with the payment that's due in the current month then double the size of that payment. So the odds of them being able to make that payment go down even further, and then we'll be behind two months and then so on and so until eventually they have a massive balance due all in one month. So that's a big part of kind of the reasoning of why we haven't done that in the past, and that's why we wanted to call that out in those new communications saying, like, hey. You have this past due balance. You should go pay that now and then focus on the current month. So that way, they're not kind of compounding that that late payment over and over and over and over and over until it's completely unmanageable. So for now, there's there's not anything on the road map to do that automatically. Alright. Will again, more clarification on this additional payer. Can they make changes to the account or just initiate payments? They can make changes right now. So we did play around with the idea of creating, like, different parent account user roles. So that way, like, there could be, like, a read only or, like, a only edit this. Like so that way we could kind of pinpoint that. But that, of course, you can imagine is a much larger lift and much larger, development effort than just getting more users in there. So that way, right now, it is just kind of they can see everything, they can do everything. It's really meant, like, if everything is all good and everybody's happy and they can share and everything's cool, that's a good solution for them. If it is a not so nice situation and there could be problems with too many people having information or access, in that scenario, we really do recommend just splitting them completely and having two separate accounts with two different logins and, you know, separate. But that is that is, for right now, the case. We might explore different user roles later down the line, but we did wanna get that full, option out there as quickly as possible. It looks like there's a custom fee description, to just clarify where that's seen. So I did show in the parent site where it shows in the billing details there. That will also show up in the invoice. If the payer is on the invoice option, it will show, you know, such and such fee and then the description. It will also show that way in the auto debit reminders in the new version. So it'll be, you know, again, the tuition and then the amount, such and such fee, tutoring, attended tutoring, +1 21314. So whatever that description is that you enter will absolutely be there and viewable in the new communication, for the payer. So that way, they don't have to call you and ask what's going on. Sounds good. A clarification question. Did you say that the auto debit email or text will now have the billing detail included since they don't have an invoice attached? Yes. Yeah. The invoice will so for auto debit, there was never technically an invoice attached. They would have to go to the parent site and then look at the details in order to find it. So we're saving them the whole login process, and we're just putting the details in the communication directly. For the people that are on the invoice option where we're not automatically debiting them, they still will have the option to click and download the invoice. But they don't have to do that anymore because they're just giving out that information right in the body of the email. But I know some people like to have that and, like, print it and keep it in their their filing cabinet. So I didn't wanna take that away from them. So that's totally still an option for them. It is in the emails by default. They just don't have to do it anymore in order to find out their information. Definitely get that. One final question. We'll we'll end on this one as we've got just a minute and a half left in here. And and, again, maybe an unfair question, but are there any processes in place or ideas in place with Blackbaud to get the schools their money quicker, maybe in two days rather than ten days? I definitely understand the ask there. Just curious if you're aware of anything. Yeah. I know with the introduction of NACHA a couple of years ago, in some scenarios that's made it feel even longer to get your funds. We are kind of seeing internally if there are any better ways or any faster ways to accommodate that. There is an option potentially that we can offer. I would encourage whoever that particular school was, to reach out to support and have a conversation about it and see if there is something that we can do specifically for them. But without looking at the specific account and kind of going into the specific details for them, it's hard for me to 100% answer. But we do know that that has been something that more and more schools are informing us as a pain point, and we're gonna see what we can do to address that for sure. Yeah.
