Now before we get properly into it, I'm going to share a few very quick housekeeping tips for the webinars. If you have joined us here on our Goldcast system before, then you'll have seen this before. So bear with me whilst I explain this through very quickly for our new friends. The audio for today is gonna be automatically broadcast through your computer sounds system. So, it should have automatically defaulted to your computer system. Unless you have headphones or Bluetooth, headset connected, that should also have automatically been connected. We have had a whole host of amazing third party, solutions providing their ideas for you and how you can simplify and smooth out that process. One of smart things, particular tools that is very much about simplifying your processes and making things as straightforward as possible. So very quickly and as it says, drag, drop, and be done. For example, you can apply transformations to check the validity of an email address or phone format phone numbers based on the region. Once you execute the import, you can monitor the progress of each data row in the logs area, manage any failures directly. You can view the date details of failed rows, edit the data, and retry the import. The system even offers email notifications for failed imports. Before we jump into the demo, I want to touch on a key difference that makes smart import a truly future proof solution. We've talked about our seamless integration with Blackbaud, and the reason it's reliable is its architecture. Unlike traditional plugins such as Importomatic and Importactular, which are tied to the older database view of Race's Edge, Smart Import is a modern API driven tool. So what does that mean for you? It can also store data from SFTP, Google Drive, and SharePoint to automatically import data from files that you may receive from other sources, which allows for semi automation of the process, like web server form submissions. I've explained what smart import does, but now let's take a look at the short demo video so you can see it in action. Welcome to our demo video of smart import for Blackbaud razors Edge NXT. This demo shows how we can make information submitted from a spreadsheet and pass it into Raiser's Edge. Smart Import sits on the Smart Sync platform as one of its many applications. To start, you must connect Smart Sync to your Blackbaud Raiser's Edge NXT environment in their marketplace. To do this, someone with the right to connect apps must visit the Blackbaud marketplace. Search for Smart Sync and connect the app by clicking the button on the left. We also supply a direct link to this page in our onboarding emails, so you can use that instead to take you directly to the correct place on the marketplace. Let's start by going to Smart Sync. You will start by going to the data area of Smart Sync. Within that, you'd click new spreadsheet and enter the name of the data, such as sample data file. You will need to create a version of your data file that only has the header row. This is quite simple in Excel. Load the file, delete all the data rows, and then save it under a new name. You can then select that file and upload it to Smart Sync. Alternatively, you can upload the whole data file and then click clear button within Smart Sync. Now we go to the Smart Sync homepage and then the applications tab. Click create a new application and select smart import for Razer's Edge. Here we've already connected our Blackbaud environment but you might need to do that. To do that click add new and then once you have gone through the process select your environment in the drop down. Select your data file and then continue. Loading all the Raizer's Edge data fields and tables will take a while. Once complete though, you can see on the right that we've got the spreadsheet columns. These are from our sample data file and we can see various fields here. The first step in the import is to find our records. This is constituent import, so we need to find the right constituent record to update. Before that though, we need to select the import mode. We can either add and update records, only add new records, or only update records. In this case, I wanna update and add new records. I'm going to use my incoming contacts ID to search to see if the record is already on the database. The contact ID column will have the constituent ID for the constituent. If it's blank or if it's not found, it will then use some additional searches. There's a built in duplicate search feature in Blackbaud's Raiser’s Edge. We can use that here, and I will put in the default certainty of 90% as we have found this works well. I will also get it to do other searches though should it not have found a match yet. We can choose from over 25 additional searches. For example, let's do name and email address, which includes looking at nicknames, former names, and aliases. So this will now look for the record using the contact ID. It'll then use a blackbaud duplicate record search to see if it can find it, and then it will also do an advanced search by name and email. To make that work, we need to tell it what the fields are that it's using for those searches. Let's drag in the first name, last name, email address, and phone number from our spreadsheet columns. That's probably all we want there. We can pre process the incoming information in your spreadsheet to ensure your data is valid. So let's click the cog next to each of these fields. This allows us to do some processing. If I click on the email, I can do a transformation to check that it's a valid email address. If it's not valid, that data item will be made blank. You can also check phone numbers, so again, we click the cog and use the phone transformation. Now that we have done that, we can get on with mapping data. You might find that when you get to this step, there are more options now, as we are always adding more. Anyway, this is where you're mapping your data into Raiser's Edge. So let's start by dragging our columns into fields, starting with first name and last name. By the way, these green icons on the spreadsheet columns mean they have transformations on them. Just a visual check so you can easily see that. Let's also map the contact ID. Maybe we want to import that. If we don't put a value there, Raiser's Edge will allocate a default one, but we can all specify it. So that's first name, last name, and contact ID mapped. To enter the email address, we need to go to the emails tab. First, we need to choose how many emails we want to import. You can import as many as you like. It fetched the email types from Razer's Edge so we could select them too. Now we can import the phone number. Let's say it's a home one. The default phone region is useful here as the system will format the phone number to match. You should select the region that aligns with your Razer's Edge. At this point, we could also bring in other data such as gifts, actions, gift aid declarations, etcetera. There is also the option to add some custom processing, which opens up hundreds of other features on the Smart Sync platform, allowing you to do a little more than the standard import tasks. But we have already configured the import, so we will save it. You can see it on the home page of Smart Sync under applications and edit it again by clicking on the Smart Import title. If we go to the data tab, we've got our sample data file. We would paste our data in here to get the import process to work. So I have my data file somewhere in the background. Let me just copy it. So I now paste my data in to start the import. You can see five data rows there. Let's click on the spreadsheet to see the current data. Once the rows have been processed, this sheet will be empty again. One of the nice features of Smart Import though, is that data is not lost. You can see the history within the spreadsheet. Clicking the history icon will show you all the rows of data processed in the past. You can see the progress of your Smart Import within the logs area of Smart Sync. Each row will generate a log showing how the data passed through and into Raizer's Edge. If there are any failures, the system will email you and they will show up as failed in the logs. With failed logs, you can view the details of the log and then edit the data. The first row of the log will show the columns and data fetched from your spreadsheet. You can edit that data, click save, and then click the retry flow button to try to import that row of data again. Thank you for your time today. So I wanted to just kinda pick up on a couple of those, things. Now we've had a couple of questions both in chat and also in q and a, about about how it links to, gifts for events and how it links into events. I think that has kind of been answered in chat, but in terms of how things you know, how you can take gift information or participant information and how it can link into the event module potentially in Raiser's Edge NXT. That might be more of a Warren question, actually. I think I think I'm not a 100% sure we have the event module baked into an option for smart import yet. Let's see what Warren says in the chat. I'm sorry. I'm trying to get through Okay. Sorry. Yeah. That's sorry. Yeah. Warren's correcting me as I speak. So events are included. I think what yeah. What's happening with SmartInfo, generally speaking, is that as more of the API, SkyAPI, is being opened up to us as a Blackboard partner, we we are we are then including those different areas of Raiser's Edge as options in SmartInfo. So, events being one of them, I think, memberships. So we're kind of keeping our keeping an eye out on the Sky API and what and what's being developed there and then including that with Smart Impulse. Yeah. In terms of the specifics of the specifics of that question, it's probably best if we speak to who who asked that question, by the way? Thanks for asking the question. That's alright. So there's a couple of people in chat who've mentioned it, but Lisa, Lisa in particular in the chat and in q and a has asked about that. Lisa, if you wouldn't mind dropping your contact details from one of the smart team folks, we can get that picked up. Yeah. So I think the best thing to do is to I mean, pro probably, if you jump on a call with us, we'll be yeah. We'd be happy to talk to you about the the the requirement you've got in regards to events. But, but, yeah, that that that functionality is in SmartInfo, and, yeah, we can get your event data into Raiser's Edge. No problem at all. Lovely. And it sounds it looks certainly looks like in the chat, there's a few other people that would echo the, the like for the events functionality. So it's great to hear that that's just been added recently. I've got another question here, Dan, and hopefully, we can see to it. And then I've got a couple more. There there are a few. This is a lovely positive one. But a question here about whether or not, you know, if you can create, virtual fields if the data file doesn't have everything you need. So, for example, custom fields. So, yeah, custom fields are included as an option. We can we can map to cut about we can map to, however many instances of custom fields you wanna import. There might be some sort of limit on that, six or 10. I I can't remember off the top of my head, but custom fields are available. If you wanna import custom data, that's that's not a problem. Yeah, they can be mapped in the same way that you saw in the demo. So you just manipulate the the the mapping during the import process, when you're configuring the import. Yeah. Superb. That's grand. We've had another question, which I know was answered in the chat, but helpful for anyone watching back who won't be able to see it. Is there any examples of importing families including relationships? Now I know Warren's answered this as to but they are supported as a single one at the moment, but you can bring in spouse info. Yes. More. Yeah. So that's another recent addition to the to the functionality it's more important. As Warren's referenced, we can handle relationships. I think he's did did did he say we just want one instance of a relationship at the moment? Yeah. So as things stand, that is the support we've got for relationships. But I think, you know, if if we get increased demand for for multiple relationships during the import stage, you know, we can certainly look at that. I've just noticed Warren Warren's qualified the the limit on the custom field in point. Looks like the limit's 20, not five or 10. Hey. Twenty twenty is more than five and ten. So, if if my math is right, that that works out in the twenties more. So that's good. Excellent. Now, let's have a quick scan through some of these other bits here. I'm gonna just jump around. Forgive me jumping around in the chat. But, we've got a question here about can we map data to any field in Razer's Edge NXT? Any well, almost any field. I mean, that's smart import. The basis is for smart import is we're using the Sky API, which, if you use Razer's Edge NXT, most of the fields in Razer's Edge NXT are now surfaced by the API. So, and if if they aren't if that isn't an option, it's not important already. That's probably because, the the API doesn't surface that information at the moment. But like I mentioned before, as time rolls on and then, obviously, most people know that database view is gonna be gonna be sunsetted at some point, and then the full suite of functionality in the API will will will grow, and that as well as smart import. So they're kind of following the road map of of Blackbaud to some extent in terms of what you can do and the data that you can import. So that's a roundabout way of saying, yes, I think. Lovely. I've got two more for you, and then we are gonna come to the end of time, for today's session. So, dropped into the chat, and I know that there's lots of others in chat, and apologies that we won't get to all of you in chat. Anyone that's dropped into q and a, I can follow-up with you. If you can't if you have popped your question into chat and I haven't answered it, please pop it into q and a before we finish in the next couple of minutes. Otherwise, I can't get to your question if it hasn't been answered, after today. Now, this has kind of come up in in a couple of q and a's and and once in the chat, we've mentioned about it being a low cost solution throughout some of this, particularly one in q and a mentioning, it being a, that then coming from a relatively small fundraising operation. I know that pricing has been shared in the chat, but can you speak a little bit more about the kind of the the the cost essentially to something like this and and how much of a, the benefit does it make, you know, elaborate a bit more on the pricing model and how it makes smart imports more affordable compared to other traditional import tools. There we go. Use the word Yeah. So it's a good question. Yeah. So every application that we sell, which is which is within the SmartSim platform, which SmartImport is is an example of that. All the all the pricing is essentially the same. So we try to keep things as simple as possible. We try to keep the costs as low as possible. Obviously, we, you know, we're working with charities and not for profits, and and the pricing model we've we've gone for reflects that. So, yeah, there's no there's no sort of hidden nasties or additional fees with all of our pricing. It's it's what you see, is what you get. We and we set for some of our applications. We do have a setup fee because some of the onboarding, well, include setup and some work for from us. Smart import, at the moment, we're we're moving towards more of a, a purely self-service model. So the so the tool is designed to to for you to manage your own imports over time. But we we at the moment, we're conscious that we wanna get people up and running as quickly as possible to test SmartImport, make sure it works for them. So yeah. I mean, yeah, in terms of in terms of pricing, I mean, we we think our pricing is competitive. Well, you the the the people on this webinar will probably know better than us because they've probably looked around for other solutions in the marketplace. So so, yeah, look at our pricing and then see see how that compares to some other some other pricing in the market in the market for what we're doing. And, yeah, hopefully, we should, yeah, we should be competitive at the very least. And, obviously, the the support the support for the applications that we sell is included in that in that, annual license fee that you you you pay as well. Lovely. Yes. That was the only other follow-up question that I had for you. So you've preempted it, from Support support question. Around, yeah, support and what kind of support and kind of bundled in with, you know, what's the what's it like in terms of, you know, timelines and getting set up, with something like SpartanPool? So so, yeah, just to touch on support, I mean, we we're available, well, pretty much 247. Obviously, a lot of our clients are in The States, so we're well used to working with through different time zones, Australia as well. There's always at least one of us monitoring our help desk. If if you've got a particular issue, we're more than happy to jump on a a call. We we can sort you through and walk you through any issues that you've got. In terms of the setup for SmartInfo, it's compared to some of the applications and integrations that we build, it's it's not especially complicated in terms of setup, but we will kind of work with you in the first instance if you wanna try some smart import, just to get you started really, just so you understand the interface. And then once you've imported your first file and are familiar with the interface, as I mentioned before, the idea is that you can you can just take take the product and and and use it on a self-service model. But we're always there if you need us, to, yeah, answer questions and and make sure it's working as you want it to work. But, yeah, we we know so support is one of the things that we pride ourselves on. That sounds a bit cheesy, but we do we do sort of take support very seriously. We're very, you know, we're very active as well. Yeah. And, you know, I think there's there's a lot to be said for the fact that the folks that I've ever spoken to that use your solutions, and it's been echoed today in the chat from, from from some of the attendees, those who are current SmartLink customers who are absolutely, very fusive about the support and the expertise, the, you know, the the, the help that they're receiving from you. So, always a good sign that those that you are positive about it. So, a big thanks.
