Transcript for "Spot Trends and Strengthen Donor Relationships with Raiser's Edge NXT Dashboards":
Hello and good morning everyone. Welcome to our webinar and live demo to Spot Trends and Strengthen Donor Relationships with Raiser's Edge NXT dashboards. Now before we get into this topic, I do want to do an acknowledgement of country. So in the spirit of reconciliation, Blackbaud acknowledges the traditional custodians of the country throughout Australia and their connections to land, sea, and community. I would like to specifically acknowledge the Gadigal people of the Eeyore Nation as their traditional custodians of the land on which I present to you all. And we pay our respects to their elders, past and present, and extend that respect to all Aboriginal and Torres Strait Islander people today. Of course, a little bit of housekeeping as well. So this session is being recorded, and we will send a link, to the recording in a follow-up email. The audio is always broadcast through your computer. So if you're seeing my mouth move but not hearing me, you might wanna try refreshing your browser. Or if you have a lot of things open, maybe shut down anything that isn't necessary. If at any point it freezes or anything like that, refreshing, in your browser is usually the best solution. We do have a few tools for you today over on the right hand side, so please feel free to use the chat if you have any comments, wanna share where you're from. I'm happy to have this be a bit interactive. There's also, you'll notice on the right, a Docs tab there. So a couple resources that might be useful. And we also have our Q and A. So we do have some Q and A time built into this agenda. So if you do have any questions, if I see them, I'll try to get to them as I'm going through. But otherwise, we'll make sure we cover those at the end. But for anyone who hasn't met me, my name is Chelsea Holland. I'm a senior fundraising consultant at Blackbaud Pacific. I've been with the company in total over twelve years. I was a customer before that, and dashboards is honestly one of my favorite topics. So I'm very excited to share this with you today. Couple things again before we go into the demo. If anyone today is not familiar with Blackbaud as a company, I just wanted to share that we are a leading software provider exclusively focused on powering social impact. Our platform is designed to help nonprofits, education institutions, foundations, and other mission driven organizations to grow revenue, engage audiences, and streamline operations. Our platform combines fundraising, engagement, and productivity tools with AI powered insights, secure infrastructure, and expert support. We're trusted by millions of users in over 100 countries and have over $100,000,000,000 raised, granted, or managed annually through our platforms. All right. So today's agenda. We're going to start out with just a quick why do dashboards matter? And then that's when we're going to get into the products. So I'll introduce the dashboards for you all, and then we'll talk about some specific features such as how you can use them to identify some key donor segments. We're going to do a deep dive into donor retention. We're going to look at giving trends and benchmarking your overall performance. And then we'll wrap up with talking about what all of this means for your fundraising strategy and some Q and A. But really the theme for today as we go through is about making your data work harder and on the same note, how you can work smarter, not harder, at your organization. So just to make this a little bit interactive here, before I share a few thoughts on why dashboards matter for fundraisers, feel free to use the chat to let me know what are the benefits you see or think you will get from dashboards? So what are some of the things that you're looking for that maybe you've used in the past that make dashboards a fantastic tool? Thank you so much, Claudia, for starting us out there. All right. Appeal analysis, donor demographic breakdowns. Absolutely. That is a huge benefit to being able to see how those appeals are performing. Ah, Katherine. Excellent. So I'm going to emphasize the word quickly seeing donor behavior changes. Absolutely. That is one of the things I have on my next slide. It's all about those real time insights, being able to view and react quickly to any trends, any changes, anything you're seeing there. All right. And Amy, thank you. Greater insight insight around performance across different donor groups. Excellent. And being able to pivot. Yep. Spot on. I think that's one of the the key things with the dashboard is if you see something that's alarming or just unexpected. Right? This is why we do things like AB tests and try different things and then monitor because we might need to pivot quickly. And Eliana, fundraiser activity. Beautiful. These are fantastic answers. And if you have more, keep them coming. But what I will say is if you're working in fundraising, you know there's a lot of information that we're juggling, and you've put a lot of that into our chat already. So it's not that we're short on data. What we're often missing is that clear, quick, as Katherine pointed out, way to make sense of it all and being able to pivot as well. So with our dashboards, they're not there to replace your expertise. They're actually going to help you amplify your impact. So you're not spending your time digging through spreadsheets, creating formulas, or waiting for someone else to run a report for you. Dashboards are that quick visual snapshot of what's happening with your donors, your fundraising activity, your appeals, etcetera, letting you spot those trends early and prioritize your time. And in today's world, we're always so busy. I think being able to prioritize your time and making the biggest impact are really why these dashboards matter. So a couple things that I wanted to call out here. So why the dashboards matter? It's going to enable data driven decisions. We don't want to do things because that's how we've always done them or because this worked five years ago. The world's moving quickly. We want to make sure our decisions are made on facts and not on vibes. Right? So dashboards are going to be very important to seeing that data quickly. And they should be actionable. Right? So we want to be able to pivot. We want to be able to respond quickly. We want to be able to drill in and use the data that we're finding in our dashboards. I'll show you exactly how to do that today. And then one that maybe didn't come up, but I think is really important as well, is a shared understanding. So sometimes we work at organizations where there's some silos or we just don't get the time, maybe we're working remotely, to all get together and talk through everything. So when we're all able to access the same dashboards, the same visuals, we can really stay aligned and make those data driven decisions on a unified front. So those are just a few of the things that I want you to keep in mind as we're going through today. Alright. So last slide before I go into Razor's Edge here. Again, if you're not familiar with Razor's Edge NXT, just really quickly, Razor's Edge NXT is Blackbaud's cloud based fundraising and donor management solution, and it's built specifically for nonprofits. It brings together your donor records, giving history, interactions, and campaign activity in one place. So you have a single reliable source of truth. It's designed to be intuitive and hopefully you will see that today. It's designed for fundraisers, accessible from anywhere. So as long as you have a mobile connection, it could be on your phone, a tablet, of course, computer. And it's flexible enough for organizations of all sizes. All right. And so with that said, let me stop sharing here and share my screen. All right. I'm hoping that is coming through okay. It looks good on my end here. Alright. So I'm actually going to before I go to the dashboard page, I actually wanna show you the home page of Razor's Edge NXT because there's really two types of dashboards that we have available in the product. So on your homepage, we often refer to these graphs and visuals as dashlets. Right? That's because they're a little bit smaller. They're maybe not quite as interactive as the dashboards I'm going to show you in a moment. How important is But it to be able to just log in every day and quickly be able to see some key information? Like how are we doing in our year over year fundraising? So we're doing quite well this month as compared to last year. Maybe there's some specific funds or appeals, like someone mentioned earlier, that we wanna keep an eye on. So we can have some trackers set up here. Again, it's not gonna be everything, like our full dashboards, but it can be quite helpful. And then maybe it's also just being able to keep an eye on what actions do I have, in this case past due or coming up in the next seven days or so. What are the recent gifts we've received? I have this dashlet actually filtered to only show me major gifts that are coming in or over a certain amount. So as we talk about dashboards, know that it's not just the dashboard page. We do have analytics and quick visual metrics in other places, including your home page. I'm not going spend too much time on this, but if you haven't already and you are a Raiser's Edge NXT user, consider going to your customized page and setting up your dashlets for your use there. All right. Now let's go into the traditional fundraising dashboards here next. Of course, these are in our analysis section of Raiser's Edge NXT. All right. So the first thing that I want to point out when we get to the dashboard page is in the top left, I have a drop down. If you have a better resolution than me, you might see tabs across the top, but there are 10 dashboards that just come straight out of the box for you. And you can see that list here. We're gonna go through not all of them, but several of them today. And with these dashboards, again, you have to do no work. They are there on day one for you. Now I'm gonna start here on our overview because our overview, as the name suggests, does cover a little bit of everything. So it's truly an overview, especially of some of these other options you have here. And I'm gonna use this to show you some of the features that we have on all of the dashboard pages. So for example, if I come down a little bit, we have filters. Alright? So as I'm looking at my dashboards, my metrics, there is a particular date range that I'm looking at. I can choose whether I want to see only received revenue or if you want to include committed pledges as well there. And you can even filter it for particular campaigns, funds, and appeals. That's our fundraising structure. So that's something you're going to see on all of our dashboard pages. What filters are available will depend on what you're looking at. So you actually might see more filters if you go to like a campaign fund or appeal dashboard as an example. But here's our quick information. I can now see for this date range that I have selected how much money I've received, how many gifts, what's the average gift. I can see what that looks like year over year for the past three years. And I can also continue to go down and see metrics like what are my top 10 campaigns. And this not only shows me the revenue, notice as I hover over, it's giving me numbers there. So I can see my revenue and I can see the goal that I've set out. So definitely have some work to do to hit some of these goals there. We have the same for funds, appeals, and it keeps going. I'll show you some more here in just a moment. Now some other features that we have available for all of our dashboards. In the top right here, I am looking at the default view, but let's say I do decide to make some changes to my filters here. So maybe I do select just looking at committed gifts or maybe I want to only look at my annual campaign. So I can play around with these and if I create something that I really like, I'm going to be able to save this view. Alright, so you can save the view. I can see different views I've saved here in the past, so I can quickly toggle between those. And if I wanna go back to my default view, that's always gonna be in the list as well. So saving filters, very helpful. Also some helpful tools, being able to schedule the emailing of the dashboard. So if you'd like to get a copy of this dashboard in your inbox at the end of the month, for example, we can do that. And you can also download PDFs of your dashboards or export them either to PDF or Excel to help you share this great information as well. Now, one of my favorite features, and I will go into this several times, but one of my favorite features is the ability to drill into the data. So if I want to know why do I have a spike in March this particular year, I can click on that data point and what's going to happen here is a sidebar loads with all the data that makes up that particular data point. So where is this 05/1000 or so coming from? Well, it's these 17 gifts all in March 2025, and I can see them all listed, including the fact that I did get quite a large donation that month, hence why I am seeing that spike there. And that's not just the data points in the graph. Again, I'm gonna show you lots of examples, but anything that looks like it can be clicked on, like all of the gifts for my date range, the revenue, and if you want more information on a particular campaign or fund or appeal, you simply have to click to access that. All right. So that's a bit of an overview to what we are seeing here. Now I want to get into some of the other specifics. For example, we wanted to see how our dashboards can help us identify key donor segments. And this is an area that I find the system really shines. So if you do have some donor groups, maybe you want to know who was recently acquired, who's at risk or lapsed in my database, we're going to be able to see that clearly laid out and direct our attention accordingly. So it's gonna make it easy to prioritize your outreach. So you need to know who to reengage, who to welcome. We're gonna be able to do that very easily, literally within seconds, as you'll see. And as I mentioned, the best part is being able to go from insights into action without leaving your dashboards essentially. So what I have scrolled down to here is our donor life cycle graph. And this is also on the overview page, but I'll kind of continue this thought in a few minutes. Now again there is a filter here if you want to filter by constituency code. Maybe we want to see the life cycle of just my volunteers or just my major donors, just my corporate contacts, that type of thing, we can do that. But I'm going to look at my full database here. And we can see in this database the largest chunk of the pie here or the doughnut is we have quite a few lapsed donors. We have a smaller chunk of lapsing donors. And thankfully we do have a big group here. Second largest group is our retained donors. We can also see who's acquired. We can see who's recaptured, at risk as well. Now if you are looking at this and going, Chelsea, what do you mean by lapsing? What do you mean by lapsed? I don't blame you. So I do want to point out another thing to keep an eye on with dashboards is our information eyes, which are going to tell you what this chart is doing, but also give you definitions. So if you were wondering, we have a really large lapse group here. What does that mean? That is everyone in my database who's donated before but hasn't given in the last two to five years. Right? If we want to know lapsing, that's everyone who hasn't given in the last fifteen to twenty four months. And I can do that for any of the terms that are unfamiliar to me. Now, we talked about action. So if I have three eighty one lapsed donors and I would like to use this segment to maybe send a mailing or do an email, phone call, whatever makes sense, again I'm just going to click on that segment. There it is. And it's going to bring in that sidebar for me again. So I can drill in and see exactly who are those three eighty one lapsed donors. So there's my list, But what I didn't show you before when I pulled up one of these sidebars here is the fact that you can actually save this list. So there's this Create List button. If I click on that, I can actually save this, and that's what allows me to use it in an email in a mailing as a calling list or whatever type of action we determine is appropriate. So definitely helpful to see those overall donor lifecycle stages and see those key segments there. But I want to do a bit deeper of a dive. And coming back up to the top where I have all of my different dashboards, we can do deeper dives into retention, into recapture, or into acquisition. So those are three of those stages that we just saw there. I'm not gonna show you all three today, but let's look at donor retention. And I want to focus on donor retention because I do find for most nonprofits, this is one of the clearest indicators of your fundraising health. So you do have, again, that visual snapshot, who's staying engaged, who's drifting away. You're not going to have to export everything into Excel and create a retention formula that is all built in right here. So when I'm looking at retention, just right up here at the top, I can see from my database I have a retention rate of just over 41 there. Now what is very exciting for me is I can see my revenue retention rate is actually at 317%. So even though I'm only retaining two out of every five donors, thereabout, they are giving more. But this is interesting stuff to look at for your donors in your database and really understand what's going on there. We even call out your first year donor retention. So that includes anyone who has acquired last year. How are we doing with retaining those? And in this case, we're actually slightly above our overall donor retention rate. So again, a very positive metric there. And then we can see what does our donor retention look like this year as compared to previous years. We are definitely beating last year, but we're falling behind what we were able to do two years ago with donor retention. Revenue retention though, again, we are doing great in this aspect. We have beat both the past couple years there. And then we can see a rolling donor retention as well. So a lot of details here straight out of the box on how you're engaging your donors. If you're looking to improve your retention, these numbers here on the right, the LYBUNT donors, is what I would focus on. LYBUNT, if you don't know that acronym, it stands for anyone who gave last year, L Y, but unfortunately not this year. All right? Could be LIEBUNTY, but last year, but unfortunately not this. So if I want to improve my 41% donor retention rate, these are the 45 donors I need to look at and get them to give again. So again, just being able to drill in, see that list, save that list, no different from what we've seen before. Right? And if you're specifically looking to improve that first year donor retention, then it's these eight in this section that you'd want to focus on there. Okay. Now again, so that takes us through doing a retention. Next, I'm gonna take us into giving trends. So this is where your real time insights continue to be incredibly powerful and shows you what's driving your fundraising performance right now. So a couple things I wanna look at with the giving trends. The first one I wanna look at is our appeal. Someone did mention this in the chat earlier, so this is a really good one to look at. But again, we have very similar metrics for both your campaigns and funds, which are also part of our fundraising structure, if that's something you're interested in. But with our appeals, I have pre filtered this one to just look at my Christmas appeals for the last several years. Alright? Now this obviously is a sample database. It's maybe not the most exciting data ever, but I just want to show you what's possible. Of course, you can show every appeal you've ever done on this particular dashboard, but you can also use those filters to your advantage. There are filters here where you can do it on categories, what's active, what isn't. And I can then quickly compare and say how did my Christmas appeal do this year as compared to previous years? 2022 apparently was an excellent year blowing our goal out of the water there. Now we can see some specific details here. So if we not just want to see the visual on revenue versus goal, but we want to see the number of gifts, what was the average gift? So yes, you know, we are quite a bit behind in revenue and number of gifts for the most recent Christmas appeal, but our average gift is still quite high. So that's good to see there. But we can see some stats called out, And then we can see several breakdowns here. It breaks down the appeal by what campaigns or what funds our donors are giving to. We can break it down by constituency code. So who is giving to this campaign or this appeal? Is it our corporate partners? Is it our donors, event supporters, friends, scholarship recipients, volunteers? And keep in mind, these constituency codes are always customizable for each organization. So you would see what you need to track there. And then we can break down by gift level. Alright, so lots of gifts between 1,005. Not as many between 5,010, but 10,000, 25,000, quite a bit there. And we can also break it down by age group. Might have a large group like we do here where we don't know the age, but we can see is this particular appeal really engaging? Is it our Millennials? Is it our Gen X? Is it our Boomers? Is it our Gen Z? So we're able to see that breakdown as well. So great way to see trends for, again, campaigns, funds, appeals. But also, when we're looking at our giving trends and performances, I do not want to leave out our benchmarking dashboard. Now this dashboard is a bit different from everything else that I have shown you today. All right. So the benchmarking dashboard, as you see in big letters there across the top, is a way for you to check your organization's performance to other organizations. And that's other organizations within the Blackbaud Pacific region, so primarily Australia and New Zealand. And this is the one place where we do say we kind of force that you do need to look by calendar year, and that's just so we're comparing apples to apples across the organizations. Now you can choose what size organization you want to compare yours to. So we can compare to all other organizations, but if you do want to break it down by revenue size, that is an option as well and compare to like or maybe compare to next level up. But here, we've already seen a fantastic dashboard on retention. But if I want to see how my retention compares to other organizations, again, keep in mind we're looking at last year at this point. I can see my retention in the last year of just over 25% was quite a bit below the average for organizations. Usually retention rate is closer to 50% or higher. And not only does it let me know where I stand overall, but it lets me know if I am able to bump up to just average, there's almost 900,000 out there, $900,000 that in extra revenue that my organization could find. Now we also give you recommendations. This is going to actually take you to your retention dashboard. Remember we saw those Libunt donors, which were the 45 that if I want to improve my retention, I'm going to go after those, right? So we have that linked here for you. So you can go from 25% to average and bring in that extra revenue. We also have some best practice blogs as well linked here about the retention topic. But we can also see how we are doing with our recapture, which is pretty much spot on average, our acquisition rates, how those compare to others, our total revenue. Now where my fake organization here does shine is our average gift amount. Our revenue per donor is great. And we can also see how we're doing in terms of donor counts. All right, so benchmarking, absolutely worth taking a look at there. All right, so let me stop sharing here and go back to our slides. Alright. Did see a quick question in there. Claudia, great question. So asking why your organization doesn't have the benchmarking tab as an option. If that's the case, please just create a support case, and they'll be able to turn that on to you. We have seen cases before in the past where it didn't get turned on for whatever reason, but it's a really quick thing for our support team to do. So create that support case and they'll get that turned on for you. You definitely have access to it. All right. So going back, we've seen lots of great tools for us today. What does this actually mean for your fundraising strategy? All Well, first of all, and I think one of the most important things, is moving from reactive to proactive. So when you have these real time dashboards, you're not waiting for reports, You're not making guesses. You're seeing things like donor retention, giving trends, segmentation as they unfold. All right, so that's so important. Again, going back to Amy's comment, being able to pivot quickly if needed. It also means, again, you are able to prioritize your time as fundraisers more effectively. So you know which donors to reach out to if you're trying to reach out to at risk or lapsing donors. If you need to adjust an appeal midstream. If you're preparing for a board member, you're able to, as you saw, export or PDF these dashboards as well. So it's gonna help you focus your time. And as fundraisers, I'd rather be making relationships than spending all my time in Excel. Now, I also like to point out something that people often forget is the fact that when you have out of the box dashboards, when you don't have to create everything from scratch, it actually can help you not miss red flags. You don't have the blind spots because you forgot to build something or didn't know you should be tracking a particular metric. So we are showing you best practice metrics here. It might include a lot of your KPIs, your key performance indicators, but it might also go beyond that, and that is not a bad thing. Because just because you're focusing on your KPIs and those are looking great, you might be missing something else that's really important. So that's why I love having these this series of 10 out of the box dashboards. And one thing I didn't go into today, but I will just throw out there as well, is we do have the option to create custom dashboards too, where you can create your own insights and put those on a dashboard page. But don't underestimate the importance of understanding the out of the box dashboards before you try to create your own custom one. And then finally here, the ability to tell a stronger story. So this is to your team, your leadership, your board members, and your supporters. So dashboards can really give us a lot of clarity and confidence that backs up our decisions with data, and it helps you show the impact of your work. I think that's so important. And it's visual, it's engaging, and it's compelling. So you have those stories that everyone can get behind. All right. So that wraps up the demo part of this, but I did want to ask are there any other questions today? Here's your time, you can ask me anything. Well, know those questions can take a moment to type in, so if you are typing in anything, please continue on. But I know how busy we all get, so I will say, for anyone who does need to head off, I wanted to say thank you so much. There's my email. If you do wanna reach out in the future with any questions, I'd be happy to help you. Also keep an eye out for more demo webinars like this in the future. We are planning a series this year of them, so keep an eye out for the next one. We have some other great topics planned for you. Alright, I do have a couple questions going in. Again, if you have to leave, totally understand, but let me take a look at these. Is there any one dashboard you couldn't do without? I will say this probably depends on your focus and what you specialize in, if there's a particular part of fundraising that you focus on. For me, it's the retention dashboard. That's why I show it in every demo I ever do. I think that retention dashboard is so important that I'm not leaving anyone behind. So that that's always been my personal favorite. But I I would say I've worked with fundraisers who are really heavy into the opportunities in razors such as NXT. So these are people who are working with grants, maybe they're working with bequest, maybe they're working with corporate partnerships or other major donors. And they really like the opportunity, but that can be a really nice one as well. And I would say that in conjunction with your work center, which is something I think we're going to look at in a future demo. So those are some really popular ones. And you know what? I love the year over year on that overview, the year over year comparison. I think that's also just such a great gut check to make sure that we're where we need to be. Oftentimes years do have patterns to them and you can kind of see that hopefully you're improving year over year. It also lets you see sometimes there's something in the news or something viral like I know this dates me a little bit, but the ice bucket challenge. You know, things like that that like take off and you can see, oh wow, this year there was a huge spike. So I think that one's really fantastic as well. And Amy, yes, for your question, do we offer additional training on how to use the dashboards? We sure do. So we do have a dashboard overview class which goes into more hands on exercises, but we also have an advanced dashboard where we go into how to create the custom dashboards. So, yeah, a couple options there if you are looking for some training, I would be happy to discuss that with you. All right, let me know if there's anything else. Alright, well thank you all again. I'm gonna go ahead and wrap up this meeting, but you have my email if you have any other questions. And I hope you enjoy the rest of your day. Thank you so much.
