Transcript for "Managed Services in Action: Solving Your Biggest CRM Challenges Live": just pop it in the chat if you need anything. Okay. I think we've got some folks starting to come in. Welcome everyone. We'll just give everyone a couple moments to join. I'm just gonna get some slides up as well. Let's see here. Okay. Fantastic. Yeah, we'll just give everyone maybe another minute or so to join. I'll just point out as well if you've joined us that we do have the chat. You should see that on the left. So feel free to introduce yourself. I always love to see where you guys are from and that'll be available throughout the session. Hello, Eve. Eve is the backstage guru for this session. If you've come to any of our webinars before, you probably know Eve. So she'll be looking after the chat as well. Okay, just in the interest of time, might go ahead and get started. Jenny, welcome. Lauren, fantastic. Good to have you guys here. All right, we got a couple more folks trickling in. So I really want to thank everyone for joining me today for this webinar. Oh, Hailey, welcome. It's so good to see you again. Fantastic. That's that's just wonderful. Greg, welcome. Welcome. We got some folks coming in, which is great. So we're gonna be talking all about managed services in action, how to solve some of the biggest CRM challenges live. So quite a bit that we are looking at today. Before we do kick off, I'd like to give an acknowledgment of country. In the spirit of reconciliation, Blackbaud acknowledges the traditional custodians of country throughout Australia and their connections to land, sea, and community. We pay our respects to their elders past and present and extend that respect to all Aboriginal and Torres Strait Islander people today. A little bit of housekeeping as well. So this session is being recorded. We will be sending a link to the webinar in a follow-up email. Audio for this webinar is being broadcast, of course, through your computer. If your screen freezes or if you have no sound, refresh your browser, shut down any unnecessary applications. Also check to make sure that your computer sound isn't muted. If you have any questions or comments throughout the presentation, if you do have the questions pop that into the Q and A. I will be going through that at the end of this session. So if you do have a question during any specific topic, just be as specific as you can. I might not remember exactly when you would ask that question. So if there's any that we don't get to, I'm more than happy to answer them following up with you guys. But otherwise keep that in the chat. We'll have a look at the chat after the session as well if any questions snuck in there. But try to keep them in the the q and a as you need. Okay. You guys have all been introducing yourselves. Thanks so much for that. Quick intro from me. My name is Ashley Wood. I'm a senior fundraising systems consultant here at Blackbaud. I specialize in razor's edge NXT. You might be able to tell from my accent, I'm originally American from New Jersey, but I've been living in Australia on and off the past ten years at Blackbaud for four years. And I live in Bris Vegas, beautiful Brisbane, Queensland. I love clean structured databases. We'll talk about that throughout the session today. I love playing my guitar and taking my dog Rolo for walks. If anyone has had any sessions with me before, you'll know that I'm obsessed with my dog Rolo. He had to make an appearance, of course, here. You have a Samoyed. Rolo is a Finnish Laphund. So he's a little bit he's sort of a short Samoyed, but they're just such beautiful dogs. So Kara, that's amazing as well. Fantastic. Yeah. Very, very similar. Cerolo. Hailey, you remember? Absolutely. Cerolo Raviolo. A little shout out there. If you know, you know. So we've got quite an amazing jam packed agenda today. I'm gonna start talking about what managed services are. It's sort of a really awesome way of consulting that I just wanna give a brief introduction on exactly what that is. And then I've compiled with the help of some of the other consultants on my team some of the most common questions and challenges that we get asked and that we help you guys solve. So really curious, you know, as we're going through, if you guys share if any of these are resonating with you, let us know. If there's any that you find to be your biggest challenge you don't see on here, pop that in the chat as well. I'm always really curious to see what challenges you guys are facing and how we can help. So let's start a little bit with what are managed services, right? So here at Blackbaud, we are more than just your software provider. We have a team of highly experienced consultants that are here to help you guys succeed in your mission. We wanna help you get to the next level and really get the most out of your solution. So whether you're using Razor's Edge NXT, Blackbaud CRM, eTapestry, a couple other little, you know, pieces that that we have, you know, We all have a background in the social good sector. We're all experts in that platform. And we can support you through managed service offerings. So managed services, they're longer term engagements, usually a minimum of about two years, where our team really integrates with you and we partner with you to really help you achieve your long term goals. It's all about unlocking your time and resources. You know, helping you focus on what you do best. Right? So we know that you might have more tasks than you have time for. Sometimes they might not always align with your core strengths. So you can outsource some of those tasks to us and really just focus on what you guys do best. So managed services is very flexible. We're really here to meet the need that you guys have. So a couple things that we do, a really popular way that we support is through functional consulting. So whether it's monthly, I have some organizations I meet with weekly, and it's just time that we're available, you know, to to that organization. It might be time that we meet and, you know, chat about different things. It might be time that some work is outsourced to us. But, you know, we're we're there to support. We do a lot in terms of data health. We'll talk a little bit about that, especially in our first challenge, that we might do sort of a review of your existing data health, supporting cleanup tasks, some ongoing maintenance. That's really important. We do strategic support as well. So not just looking at a single problem, a single challenge, resolving that. We look at holistically. You know, it might be some things like you want to optimize your regular giving program. We look at more strategic ways of optimizing that. Maybe you want to improve your moves management. Right? So we can really help with that change management and and kinda getting you you there from start to finish. We also do resource backfill. So, you know, this is really helpful. We support you guys with business as usual sort of activity, providing coverage. It might be that someone's on leave and we can step in and and do some tasks. Maybe someone's left the organization. Sometimes there's just more to do than than you have time for, than you have resources to do. So, I've taken over reconciliation before. I've done regular gift management, various imports, exports reports, etcetera, etcetera that we can just do for you. So there's a lot of ways that we can help, which is really great. Okay. So that's kind of a crash course into what managed services are. Let's start with our first challenge. Our data is a mess and we don't know where to start, right? So this happens and we are absolutely here to help, right? There's lots of reasons that data can get a bit messy. Could be staff turnover, just inconsistent training. This is a big one I've heard of years of just get it entered. Just get it in the system. Right? And it's tough because if you can't trust your data, nothing else really matters. Right? So you're not going to be able to fix everything at once. It's about fixing the right things first. So a couple of different ways that we can help. The first is we always start, whether it's informally or formally, with some kind of data health review. So it might be something formal in the form of a document we give back to you. In other cases it's a conversation that we have and just looking through your database with you. So we might be looking at various constituent data pieces, especially gift data entry. Is something happening there that's causing some issues in your reporting? Good data in is good data out, of course. Looking at your code tables and custom fields is always something that I have a look at, especially thinking about constituent codes in Razer's Edge NXT. Communication preferences, that's a big one I've been finding that organizations might be tracking that in solicit codes and custom fields and you know, maybe other kind of request no email and and various different things like that. So, you know, looking at getting that more consistent. Looking at business rules and process documents. So does your configuration actually match what your documents say? What you assume the process to be is that actually what's documented there. Is there a disconnect? Folks following different things, right? Some common issues that we find. I always look at the number of identified duplicates. Certainly duplicates can cause quite a number of issues. Relationship management. So I've been working with quite a few organizations recently, specifically on organization relationships. So thinking about how are you managing contacts? Are they full constituents? How are you identifying them? How are you communicating with them? That's quite a big area that has just been very relevant recently. Campaign fund appeal inconsistencies. Certainly a lot of financial reporting in Raiser's Edge relies on your campaign funded appeals. I'm sure CRM is quite similar as well. So we look at that, getting that a bit more streamlined for you. And just kind of various pieces in your database, looking at inactive, underused fields. Are there opportunities for cleanup there? So a typical way that we'd approach this is assessing the situation the challenges and prioritizing. I love starting with quick wins. I think it becomes a bit overwhelming when you have a lot of pieces to clean up. Quick wins are exciting. They motivate the team. They show the value in cleanup and really being able to then get started on some longer term activities that are going to make a big impact. As part of this as well, we're resolving issues. We want to make sure that it's going to be maintained. So setting up some business rules, training. I'm really passionate about empowering your team to really make the most of the system themselves. So we focus on that and documenting any changes. Part of this as well is a lot of organizations are wanting to leverage AI tools. They're looking for automation. They're looking for more direct integrations. Whether or not you guys are doing that now, you're getting ready for that, it's more important than ever to be getting your data ready for the future for these activities. That if you find you're doing a lot of manual manipulation, a lot of assumptions, right, your data is captured in notes or not in Raiser's Edge. Now is the time to start getting that really structured and ready for that, right? And those are some things that we can help you with. So I just want to show you, I'm going to share my screen here. And let me pop in to my Razor's Edge. So I'll show you a couple of areas that we might have a look at, you know, focusing in Razor's Edge. I'm just in my my demo environment here in Razor's Edge. So, you know, for example, I might have a look first at your data health. That's a really common area that that we'll have a look at together. And we'll have a look at your possible duplicates, duplicates with higher confidence. So this is a low number. I'm quite happy with that. If we're finding thousands, tens of thousands, there might be something going on with, you know, imports or integrations, maybe, you know, just a long time of not looking at this. So that would be a big red flag for me, but that looks pretty good there, you know, what what we can see. Okay. We might also have a look at gifts, for example. Right? So I might wanna see kind of what some recent gifts have have looked like. So here, for example, I might have a gift list of gifts from from this quarter, this month. Okay? So already, what I can see here is that we do have some gifts with no campaign, no appeal. Okay? So that could be an indication of you know, so there are instances where that might be the process, but best practice is to have gifts with a campaign with an appeal. Alright? I can also see some inconsistencies here. We've got a general 2023, general appeal q one twenty twenty two. So it's not quite the same. We've also got, you know, ex misappeal FY '26. So maybe a naming convention is something that that I'd recommend there. Okay, so just a couple little pieces that we might have a look at, for example. Okay, let's pop back to our slides and get to our next topic here. Reporting, right? So this is something I hear a lot. We need better reporting, but we don't have time or expertise. Reporting can be a huge barrier for a lot of teams. And I wanna start by talking about why data driven decisions, data driven reporting is so important and and how you guys can facilitate that if you're struggling with that one. So a lot of organizations do struggle to use data effectively. Some areas that I've seen is that they just don't really have a culture of using data. That data is seen as a report card. It's something to just provide to your board. But it's not really a decision tool. Right? Sometimes there's just too much data, and it's cluttered. It's sort of overwhelming, and it's not really providing clarity. A lot of times you wanna have better reporting, but there's just not enough time to reflect. That one campaign ends. You're immediately onto the next one. Sometimes, and I hope this is less and less, but folks fear what the data might say. So if the data might suggest failure wasn't as successful as you were hoping it would be, might be a little easier to ignore it. But it's so important we learn more from failure than we do from success. So that's really important to see what's happened there to adjust things going forward. So how do you facilitate data driven decisions? The first, it always starts with good data entry and really clearly defined processes for data entry. You can't report on data that's not there. And part of this is training to make sure that your staff do feel empowered and knowledgeable about how to properly enter that data in. Any time that you have manual processes, manual data entry, there's always the increased risk of errors. So wherever possible, you know, automating and integrating your data is really streamlining and standardizing that data. It also speeds it up so it gives you more time for reflection. Collecting intentionally, visualizing clearly. This is really important. You want to make sure that the data that you gather is actually data that you're going to use. Again, we want to make sure that we're bringing in data and we love that. But are you going to be using that data and making sure that you're asking the right questions? Asking questions and recording things that you're going to want to report on. Part of this as well is scheduling data cleanup. That ideally the three areas that I've already mentioned will help reduce the need for data cleanup, but it's always gonna happen. So making sure that you are scheduling recurring reviews and maintenance such as those duplicate records, incomplete information, it's gonna pop up, so prepare for that. So how can we help your reporting needs? The first thing I typically like to do is craft clear briefs. So this might be a little bit technical, but I find a a big issue is a need to really separate out segmentation from output. Right? That when you're looking at a brief, think about what is it what are the records and and information that you actually want? Who are the constituents that you wanna report on? What are these gifts that you actually wanna report on? Figuring out the the dataset that you're looking for, that's step one. Then once you've got that, what is it that you want to see about this data? A really easy way to do this is to start with decisions first. So thinking about who is this report for? How often are you going to be running it? Is this one off or something recurring? If it's recurring, probably don't want something super manual. That's really where you want to be looking at scheduling and setting up templates. What action is this driving? Why are you gonna be pulling this report? What is it for? And kind of from there figuring out what tool do I actually need for this task. That's where a lot of folks get stuck, especially looking at Raiser's Edge NXT. We've got reports. We've got dashboards. We've got query export, so many different areas. What are you gonna use for it? Ideally, the above questions will help to answer that. So how do you optimize reports? Something that I see often with messy reports is there might just be too many columns, might not be ordered properly. Columns might not have great headers when it comes out of razor's edge. There might not be any filters used. So again, this comes back to that segmentation need of might just need a little bit more training, a little bit more support in segmentation using a list, using a query so that you don't actually have to manually manipulate the data once it's it's exported. And there's just lots of manual cleanup needed. Right? So how we can fix that? Really optimizing your report. So once your team has a really good understanding of the tools, whether it's within the segmentation piece or the output piece, having focused fields, really pulling out the data that you need in the order that you need it in. Doing the segmentation directly in Razor's Edge is so helpful. These pieces will help you reduce the need for manual cleanup. Sometimes there might still be a little bit of cleanup needed. In some cases, you just export the report and it's ready to go. That's what we love to see. There are some ways of automating reports. Looking specifically at Razer's Edge NXT, you can create some list templates that can really help out. And then it might just be making small changes and creating a new one. In some cases, folks just don't know about dashboards that you're spending a lot of time exporting data out, creating. I love a good pivot table as much as the next gal, but a lot of that can just be done. It's just sitting there in a dashboard for you. You don't actually need to be doing any calculation. You can also schedule some reports and dashboards. So I'll just bring back up my razor's edge here. Let me pop back into my screen share. So we left off on our gift list here. I believe that's sharing it. So I'll show you, for example, if we pop into analysis. Let's start with our fundraising dashboards. This is a really great space. This is also a space, by the way, that I look at when I'm doing some data analysis, doing a little bit of a data health. It's a great snapshot of your database just to really see what's going on here as well. Right? So for example, I might see here FY '26, right? We've had a little bit less GIFs here than last year. I might wonder, are there GIFs missing? Have we not imported all of our GIFs? Just certain questions to ask, for example. Okay, but this little year over year performance, it's just sitting in your overview dashboard. I really love this one. This is something that before I had Razor's Edge WebView, I used to pull for an organization I worked at using a query and then putting it into a table and a complicated chart, and it just took me hours. So I always mention this to to my clients that this is a really great little table to use. Okay? This is something that you can export as an image. You can even bring it out, I'll show you as an Excel file. I might need to reshare my screen there. But if you did wanna play around with it in Excel, you can do that from your dashboards here. So I'll just show you. Let me reshare my screen. So let me I'll just bring out the window. Why not? Okay. So for example, this is that year over year performance. I'll just give that a second to come on up that we saw in in the table. And you can actually bring that into Excel if you do wanna play around with that. So this could save you quite a bit of time, you know, having to do calculations, and it's it's just sitting there. Right? So this is really, really great. I love that. Okay. Getting back into so let me switch it. Hang on one second. I'll just reshare. So used to Teams. Fantastic. Right? So this is really great. You've got a lot of different dashboards here that you guys can have a look at. And any of these, you know, if for example, this is a really great dashboard. Maybe you've got like a weekly meeting. You can even schedule these. You got that little clock here, and you can schedule them daily, weekly, monthly, whatever you'd like to do. It goes directly into your email, which is great. You've also got your standard reports. So this is a pretty good one. You've got various different templates here. And you can also schedule these. So I've got an appeal performance. It's really cool. It could be helpful thinking about your big appeals. I've got some organizations I use this with for their tax appeal, their Christmas appeal. You can segment it by package, right? It does it all for you. It's really cool. So I've scheduled this for every Wednesday at eight a. M. And you can see here it's actually completed for me. So if you have reports that take a long time to run, schedule them. Right? It's not gonna impede your use of Racers Edge. It's not gonna lock you out. And it's just sitting here waiting for you. You can download that and you can see, you know, it just brings that up. So I'll just show you that real quickly here. This one. Yep. Okay. So very cool. So it's got heaps of analytics here. It's got a couple more things on the dashboard shows, and then it breaks it down by the package. I love it in the web view reporting as well that it does give you a really nice Excel spreadsheet. The database view was a little bit of manipulation. It was really meant to be a PDF, but this one is quite a nice CSV file and just some, you know, old dummy data you can see here. But, you can even update this if you only want a tax appeal, right, instead of having major gift and things like that. So it's quite a nice little report there. Just a couple little suggestions there of how you can optimize your reports. Fantastic, let's move on to our next topic. This is quite a big one we get. You know, we're understaffed and can't keep up with day to day CRM tasks. So in various different formats, this is probably one of the biggest questions, challenges that we get. So how can we help? Typically what we do if you find that things have gotten behind, we help you to triage the backlog. So thinking about what is the priority to get done. Often, you know, I'll start with any gift entry delays. We wanna make sure that that's getting into the system, anything processed that we can help with. We'll have a look at any segmentation requests depending on timing. You might have some appeals, various reports that have to go out. There might be some configuration or just general data health needs. Often that sort of falls off. It might not feel as urgent as other activities, but it becomes urgent real fast if if that hasn't been done. So those are areas that that we can help with. Some other things I I find, you know, various different kind of moves management activities that that's kind of a a really common area I find folks might tend to get out of razor's edge looking at their actions, their solicitations, opportunities. So we can help bring that back into razor's edge and really optimize that activity. This is where we really shine with resource replacement. So if it's just not in capacity for us to train your team to do it, we can take over things. So various different data entry batch management, thinking about, you know, your segmentation and exports, especially with your big appeals and the financial year reporting, thinking about setting up new campaigns and appeals at the start of your financial year. Regular gift management is an area that I help with quite a lot, whether it's automating any credit card regular gifts, helping you with your direct debits, declines management, lots of different things that we can do there. But again, we're all about creating efficiencies, not just putting a band aid on the situation. So as part of this, we'd help set up some agreed standards. Sometimes what I find is folks feel like they can't keep up because they're just bogged down by manual processes. And we can identify some quick wins, some repeatable processes that we can automate. Maybe areas where you're doing heaps of manual manipulation, but we can create a query that does that for you. Maybe there's an integration that you don't know about. You don't actually have to enter this data in manually. We're going to help you with documenting. And if there is an area that we can help you be more efficient, focusing on that training and mentoring. Right? Just building on that, staying on track during capacity challenges, right? Again, really passionate about training and upskilling. That we really want your staff to get the most out of razor's edge. Often, you know, they're doing manual processes outside of razor's edge. But feeling more confident in the system will often leave a lot more time for them to do, you know, what matters most. We do that resource backfill. And what I've heard from a lot of our organizations is just that stability and that consistent support we can offer during capacity gaps staff turnover. It gives a confidence to the team that we will keep the lights going while things are happening within your organization. And really just being able to outsource some of those complex tasks can be quite helpful there. Okay. So this is a really common one. I'm curious if you guys ever feel this. It's just we don't know what we don't know. There's an element of not even really sure what questions to ask, not sure what areas to focus on. It's just sort of there's so much. There's been a lot released in Razor's Edge. We know that there's a lot of areas, but where do we start? Right? So a couple of things that we do. This is where, again, not to sound like a broken record, but it's why training is so important. So we do offer foundational training. And I really love this because even someone who's been using Razor's Edge has foundation gift training, foundation list training. And everybody learns something. There's something that you didn't even know was there, didn't even know to ask about. And it's something that's a light bulb moment that's really exciting. We focus on how your team uses the system. So our training and mentoring is all with a live consultant, of course. It's not generic. It's it's really attuned to how you guys are gonna use it answering your questions. Beyond foundational training, we have lots of advanced training and mentoring beyond the basics to really help you get the most from your platform. There's a lot of really cool stuff you can do with custom dashboards in Razor's Edge, not even needing Insight Designer, for example. Y'all, like, have no idea. It can do some really cool stuff. So we can we can go through that and and and help you out. Something else that we do is new feature reviews. So reviewing some new and existing features that you might not be using. So did you know that reports have come into the WebView? Did you know that you can schedule them? Right? Some folks might not be aware in lists you can do a map view. Right? There's heaps of stuff that you just might not even know. So we can work with that. We really love to highlight some quick wins. So a couple areas I've just mentioned there to help you improve your efficiency without having these major projects. As part of this as well, a lot of consulting work that I do is what we call ask me anything sessions. So it's time with a dedicated consultant. And it just means an external set of eyes that we can spot risks, inefficiencies, opportunities, just being, you know, that fresh eyes that you might miss just being really deep in your day to day work. Okay? Now, like I mentioned, managed services is very customizable. You know, we really work with you for your ideas. If you're still feeling a bit, we don't know what we don't know, how can you help? We do have some example packages because we have an idea, you know, of of a standard of of how long things might take. Certainly, we would work with you to, you know, estimate exactly what that would look like. But couple things we can do, you know, thinking about ending and starting your financial year. So, you know, a lot of you probably have a regular gift program. We can help you with some options for end of financial year receipts or various annual statements. Thinking about reporting assistance, setting up new campaign funded appeals, know, inactivating some old ones, getting your reports for the new financial year. Okay. Regular gift management. So we can help you automate your gifts. We can help you, you know, with your declines process. We could do some reporting for you. That's a big one that we do. Again, access the experts. So might just kinda be that that functional consulting. It just kinda saves you time because there might be something that could take you hours to research and look through, you know, all the the knowledge based articles and and and help articles. And you ask us, and we could tell you very quickly, oh, you know, the system isn't meant to do that. Here's another option. Or absolutely, have you looked at this? We get that quite a lot and it's a lot of fun to do that. Event management, appeal segmentation. So we kind of have some templates to help you if those are areas that you want some support in. And we can kind of scope a little bit of that out for you. I mentioned this at the beginning. Hopefully the idea of managed services is becoming a little bit more clear to you guys that it's about optimizing your systems and ultimately helping you to retain more revenue. So, you know, we really feel like we become part of your team. We, you know, we joke that I I feel that some of my my organizations are my part time job because I I really do feel part of the team. I've even been to a Christmas party with with one of my organizations because I just I was so much part of the team. A couple of things that we do, right, that resource management. Often I work with organizations where they're just too small to have a full time database administrator, but you need someone to look after that database. So we can be that source for you. You might only need five hours a week, a couple hours a month just to do you know, little things here and there. You can avoid that costly hiring process by by having us there. We really help you maximize your system usage, you know, and having that pre budgeted access, you know, we're we're here to help you. We offer professional growth. So a lot of, you know, users really appreciate that having access to experts where, we can really help you guys become experts. I love when I've been working with an organization for a while and then they start teaching me things. It's very exciting when they can kind of in real time answer their own questions. I love to see that. It's always really exciting. And the benefit of a longer term engagement is that you do get preferential rates rather than if you just had a kind of a single one off consulting engagement. And then you don't have the stress of having to reapply for funds every year. It sort of just becomes all a part of the subscription of your razor's edge that we come you know, we're a package deal in in that sense, really helping you get the most out of your system. So who would you be working with? Here are some of the friendly faces. Some of you guys may have worked with some of these folks before. So we're all functional consultants to help guide you through the sessions. We give you that tailored support. You know, we work across multiple Blackbaud products. We all come from the social good sector and, you know, we love helping you guys. You'd also have an engagement manager who's there to kinda oversee the project. They help schedule and really help keep on track. So they're there as your go to to make sure that we are meeting your goals. If we need to pivot, anything like that, that engagement manager is is really there for you. Before we finish up, before we get to some questions, I do just want to call out, we have a Power Automate regional workshop. It is the very first in our region. It's in Sydney, April. I will be one of the instructors for this. I'm beyond excited about it. It's really gonna be focused on how to extend the use of your Blackbaud product. Whether you're using Razer's Edge NXT, BBCRM, eTapestry, definitely something to to have a look at.
