Transcript for "Blackbaud Financial Edge NXT® Tax Season Q&A Session":
Good afternoon, everyone. We're gonna give people a couple minutes to a couple seconds here to trip in, but thank you in advance for being here. Again, welcome to everyone who is joining. We'll get started in a couple seconds here, but just wanna make sure you're all here before we kick it off. Alrighty. I think we are good to go get started here. Good afternoon, everyone. Thank you for being here. Welcome to our webinar on how to prepare for the 2025 tax season with Financial Edge NXT brought to you by customer success. Thank you all for being here and spending your Wednesday afternoon with us. This is our second webinar this tax season. Our first session in December was focused on preparing for tax season. Today's session is focused on actually processing your ten ninety nines. Before we get started, there are a few housekeeping items we wanna review to improve your experience. The webinar audio is broadcast through your speakers. If you encounter any audio or technical issues, a quick refresh of your browser is the best way to get it working again. Please click on the q and a widget on the right of your screen to submit any questions that you have. We have a great team behind the scenes monitoring our q and a. We ask that you be as specific as possible with your questions as we may have moved past the items in the presentation that you're referring to. We will prioritize answering questions about processing ten ninety nines today. If you have questions on a topic that is yet to come on our agenda, we ask that you wait until we get to that section in case we end up answering your question in the content we've prepared. If you have questions that are specific to your organization's processes or setup, we most likely won't be able to answer those given here given the amount of details we need to understand the full scope of the scenario. In these instances, we recommend utilizing some of our self-service resources that we'll be reviewing today or reaching out directly to support. Next to the q and a tab, you should see docs. This is where you can access several links and resources to download for future reference, including the slides that we'll be going through today. Finally, should you wish to rewatch the recording of today's session, you can use the link you used to join today. You will also receive a link to the on demand recording of this webinar within twenty four hours via email. During today's session, we will start with an overview of the tax season resource center, recap how to prepare for ten ninety nines, and preview what the ten ninety nine process looks like in Aatrix. Today, you will be hearing from myself, Grace Walker. I am based out of New York City, and I'm joined by Tegan Bisping, who is based out of Austin, Texas. They are knowledge engineers on the value and impact team here at Blackbaud. With that, I will pass things off to Tegan who will get us started. Hi, everyone. It's great to see so many people here. Some of you are long term users of Financial Edge, and you've been processing ten ninety nines with us for years. But for those who are newer to the process, I do wanna begin with a quick summary of some of the key points in, ten ninety nine processing. HX is Blackbaud's partner for processing ten ninety nine forms. We actually have some of the HX team here helping out in our q and a today, which we greatly appreciate. Ten ninety nine miscellaneous and ten ninety nine NEC are the only two forms supported in FENXT. Data from FENXT exports to Atrix and will be displayed in the ten ninety nine grid for additional review and validation prior to filing. And as with last year, all processes can be completed through FENXT web view, including the ten ninety nine processing, which will continue to happen in HX Cloud. To help guide you through the many tasks you may perform when processing your ten ninety nines, we've created a dedicated resource to consolidate all of the ten ninety nine information and make it easily accessible to you. We hope the tax season resource page gives you a clear step by step guide for processing ten ninety nines. You'll find the URL for the tax season resource page in the docs tab as well as in the registration email you received for this webinar. I'm gonna stop sharing, these slides real quick and share my screen for a demo of the tax season resource page. Alright. You should be able to see, the tax season resource page here. At the top of the page, you'll see a search bar, which will allow you to search within Blackbaud's knowledge base. Just below that, we have a link to our status page that can alert you to any incidents that may be occurring. If at any time you think you're experiencing an incident, we recommend checking this page to see if anything has been reported. That brings us to the key topics of this guide. We've broken up the ten ninety nine process into four main steps. First is preparing your data. Next is making any necessary corrections, ten ninety nine adjustments. Then processing your ten ninety nines in matrix, and lastly, ensuring your records are configured correctly and you are set up for success for the next tax season. If you click on any of these steps, you'll be directed to specific resources pertinent to that subtopic. For example, when we click on step three, we have two options. When we select prepare ten ninety nine forms in AtriX, we are directed to KB number 205011, which is how do I create ten ninety nine forms using Atrix through Financial Edge NXT. This is our step by step knowledge base article on what to do once you've confirmed your data is ready for ten ninety nine processing, which is the topic we'll be covering today. Back in the resource center now, if we click on view the new Atrix Cloud ten ninety nine process, we are directed to Blackbaud University where we can find an elearning on ten ninety nine processing. Back in the resource center now, when we scroll down to the bottom there, we have a section for additional resources. First is a link to our knowledge base article announcing updates to Aatrix this year. Second is a link to the customer success on demand resource library, which includes the recording from our December tech season webinar. Next is a link to the FENXT Resource Center, which has a ton of FENXT resources beyond the scope of just tax season. And finally, we have a link to the Financial Edge tax season community page where you can connect with other organizations. Over on the right hand side, we have a section for frequently asked questions. You'll see that we have a handful of FAQ articles, which are a great place to look for product documentation on the ten ninety nine process or if you have any questions on issues you may encounter when processing your ten ninety nines. And just a quick call out, if you are not hosted with Blackbaud, there's a guide there for updating and installing Aatrix. Alrighty. We are going to dive back into our slides now. In our December webinar, we covered the steps to prepare for ten ninety nine processing, including ten ninety nine configuration, vendor setup, steps for verifying accuracy of ten ninety nine amounts, and how to adjust the ten ninety nine amounts. If you weren't able to attend that webinar, or you've got questions pertaining to these topics, we strongly encourage that you watch the session, which is available in the docs widget. And also, it's available through the tax resource center via that on demand videos link that Grace showed us at the bottom of the page. Over the next few slides, we're gonna briefly review a couple of key components in ten ninety nine preparation before we dive into an in-depth look into ten ninety nine processing in Matrix Cloud. Before the start of the tax year or whenever a new vendor is added, you're gonna wanna ensure that you, have set that vendor up correctly to track ten ninety nine activity. On the vendor record, you would select the vendor type as individual or organization. This selection determines the format of the vendor's tax ID number in Atrix via a Social Security number or an EIN. Hyphens aren't required in that tax ID number field in FENXT. They'll be added, actually, when the TIN is formatted in Atrix. But if you do have hyphens, that's not a problem either. Either way, AtriX is gonna take care of formatting that that TIN based on your vendor type selection. Ensure that you have the issue a ten ninety nine statement checkbox marked for vendors since this indicates that the vendor is a ten ninety nine vendor. And once you check that box, the default ten ninety nine distribution fields will appear. Enter the default distribution that will automatically populate on any new invoices that are created for that vendor, thereby tracking the vendor's ten ninety nine activity. To review your vendor's ten ninety nine totals for the tax year, you'll use the ten ninety nine activity report. This activity based report provides a summary of information on payments made against invoices with assigned ten ninety nine distributions. The information is summarized by individual box and by vendor over a specified duration of time such as the tax year. These totals are the ones that are ultimately pulled into Aatrix for submission to the IRS. It's important to note here that credit card payments are actually are automatically filtered out of the ten ninety nine activity report since these are not reported on ten ninety nine miscellaneous or NEC. If you're a veteran of FE, you've probably noticed that the report looks a bit different this year. Our developers reformatted it based on feedback from the FE and XT Idea Bank and our support support cases. Cases. In the past, the report showed two stacked rows of data for each vendor, but this year, we've flattened things out so that each vendor has a single row of federal amounts. We made these changes so that when users are exporting their report to Excel, each vendor has one row, which allows for less manual manipulation of the data and easier use of formulas when you're doing calculations and analysis, things like that. Hopefully, that change improves your overall experience with the ten ninety nine activity report, and we definitely look forward to your feedback about it. Grace is gonna go ahead now and tell you a bit more about how to run the report. Thanks, Tegan. Okay. The ten ninety nine activity report. You can find the steps on creating this report in knowledge base article two zero two nine three eight. In Financial Edge NXT, this report is located in the report section under analysis. All reports are grouped together here. The first time you run the report, we suggest you run it without any of the content checkboxes marked. This will give you an idea of which vendors and amounts will show in matrix if you didn't make any further changes. The screenshot across the bottom of the screen here shows the report preview. The ten ninety nine activity report is designed to show the vendors who currently meet the criteria to generate a ten ninety nine. Ultimately, it is those vendors that will show an matrix when you're ready to process ten ninety nines. These are vendors who are marked as ten ninety nine vendors and meet box minimums. With that in mind, we recommend first running the report with no checkboxes marked on the content tab. After running the report as is, we then recommend utilizing those checkbox options in the content section for data validation and troubleshooting purposes. We can include vendors with ten ninety nine activity that are not marked as ten ninety nine vendors and include vendors with activity below ten ninety nine box minimums. We can use the three variations of the report to first identify any vendor records that might not have been marked as ten ninety nine vendors and edit those vendor records accordingly. And second, we can identify any invoices that are missing ten ninety nine distribution and add an adjustment accordingly. One of the questions we received was how to hide the ten ninety nine box numbers that have no activity. The columns of the report are static, so there isn't an option to remove any of this in the PDF that generates. But if you export to Excel, you can remove columns as needed there. Once our ten ninety nine activity report is run and the data is validated to be correct, we're prepared to process our ten ninety nines. It's important to validate the act the I'm sorry. It's important to validate that data that's in your October activity report. If you were here for the December webinar, you'll remember that we went into detail on how to do this. So, again, I just wanna encourage everyone to check out that session if you've got questions about validating the data in this report, or making updates. Here, we see a number of reasons why the vendor's ten ninety nine activity may be missing or incorrect. Ultimately, if the totals on your ten ninety nine activity report do need to be updated, you can use ten ninety nine adjustments, which are added on the vendor record to edit these amounts without having to avoid payments or edit invoices. Once the vendor's ten ninety nine totals are correct on the ten ninety nine activity report, then you can move on to processing your ten ninety nines in Aetrics. Now that we've ensured our ten ninety nine data in FENXT is accurate, it's time to shift our focus to ATRIX. As a reminder, last year, moved ten ninety nine processing into FVNXT by integrating with AtriX Cloud. This means that everyone with FVNXT will once again be processing ten ninety nines in AtriX Cloud instead of the legacy version you may have used in the past. You will not need to download anything to access Atrix from within FE and XT. Instead, once you launch the ten ninety nine parameter, you'll log in to Atrix with the same e file credentials you used last year. Some quick reminders and call outs for this year. Matrix Cloud requires that you e file your federal and state ten ninety nine forms. We recommend using Matrix Complete e file service so that they handle processing all the forms for you. We have a new correction process for this year for completed ten ninety nines. After you file your ten ninety nines for 2025, if you need to make any corrections, instead of contacting AtriX directly, you can launch your ten ninety nine parameter and select the option to correct completed ten ninety nines. If you need to access a tax report from tax years prior to 2024 and these forms are e filed with Aatrix, you will continue to contact Aatrix directly for this. So if you e filed with Aatrix for the 2024 tax year, the tax history for the sorry. The tax history for the 2024 tax year is available in FENXT on the tax report history tab within payables and communications. The same will be true for the 2025 tax year's history once processing there is complete. I just wanna reiterate since we've received a few questions about this. There isn't anything you need to do to enable Aatrix Cloud. It is already available within WebView for you to use, so you don't need to download or install another application. All you need is your e file account. So how do you get that e file account? If your organization filed ten ninety nines using Atrix e file last year, the same credentials should be used again this year. The Atrix e file account is linked to your organization's EIN, so this account is going to be used year after year. If you aren't sure what those credentials are, I know it's probably been a little while since you've needed them, there's a link on the Atrix login page to help you recover those credentials. If you need to help re if you need to reset MFA for those credentials, you will need to contact Atrix for assistance with that. If your organization is new to Atrix Cloud, there's information in k b four seven six seven five about how to set up that AtriX e file account. And with that, Tegan is gonna run us through the FENXC workflow to get to AtriX Cloud. Yeah. So to refresh everyone's memories, let's do a quick review of the steps to launch Aatrix in FENXT. Within web view, you're gonna navigate to payables, communications, and then you'll click that ten ninety nine forms tab. You're gonna see here any of the previously saved ten ninety nine parameters. And depending on, you know, your preferred work work flow, you would either open an existing ten ninety nine parameter or create a new parameter using the add button. You can select which type of ten ninety nine you want to generate from the drop down, either ten ninety nine NEC or miscellaneous. If you need to generate both, you're gonna run those separately as two different processes. So you'd run NEC, and then when you're done with that, you'll run miscellaneous or vice versa, whatever order you wanna do them in. They're just they're separate processes. For the date range, you'd select values like last calendar year or 2025 since we're processing for 2025 tax year. You'll mark the checkbox to use the alternate payer or filer name for any changes to your organization's name, and then you'd enter required fields for the contact information section. If you need to filter your data to include vendors with ten ninety nine totals below the IRS minimums, you can do this using the check boxes in the filters section. While you can click the generate button right from this screen, none of the changes made in the new or existing parameter will be saved unless you click the save button. So we're recommending saving first and then using the ellipses next to the parameter to generate. Once you do that, at the bottom of your screen, you'll see the blue Toast message appear. That'll turn to green, and there'll be an option right in that message to log in to AtriX. After you click generate, you will be leaving Financial Edge NXT and transitioning into AgriX Cloud. This is when FE NXT is exporting your data and sending it to Atrix Cloud. You can recognize this because you'll be prompted for your Atrix e file account credentials here. Again, if you have never e filed with Atrix before, you can follow the steps in knowledge base article five three one three two or go to efile.aatrix.com to set up your account. And, again, this account is associated with your organization and tax ID number. If you have efiled with Aatrix previously, you're gonna use the same efile account here. If you have any questions regarding your Aatrix efile account, you can contact Aatrix directly to make any changes. So looking at the four blue squares on the right there, when navigating through AtriX to process your ten ninety nines, there are essentially four sections you'll work through. The first few windows that you'll see are related to your company information. Then you'll be taken to the AtriX prepare grid where you can review your vendor information. Next, you will be able to select and review your forms in the forms viewer. And finally, you will complete your e filing options. You may processing follows the same pattern that it has in previous years. We've got some examples here on the screen of the screens that you'd see in that AtriX wizard where you verify your company information. You'll be checking things like your tax ID number, your organization name, and address. The the wizard will walk you through a set of questions about the type of filer that you are, how you want your recipient tax IDs displayed. It'll verify state and local tax items, among other things. If you have any questions about these screens, we recommend reaching out to a tax professional. Now as you're walking through the screens in the wizard, if you come across any organization information that needs to be updated, it's important to make corrections in FENXT. As with previous years, that that data connection between FENXT and Atrix Cloud, it only flows in one direction. It goes from FENXT to AtriX Cloud. So changes made in AtriX don't carry back to FENXT. And because of that, you're going to need to manually update your FENXT configurations and records. I'm gonna say that one more time because it's really important to remember. Data changes in Ahrefs do not update FENXT records. To help keep your FENXT data clean and up to date, we recommend as a best practice that you initially start your process with a practice run through, having two browsers open side by side with one open to Atrix and the other open to FENXT. This way, as you come across fields that need to be updated, you can make those updates in FENXT in real time instead of trying to remember, you know, to go back and correct things later. If you notice an an update that's needed in the Ahrefs wizard company screen, that update would be completed on in FENXT on the payable under settings, payables, organization info. That's where you'll find, you know, your organization address, your federal and state ID numbers, and so on. After you've finished verifying your company information, you'll be taken to the Ahrefs prepare grid. Each vendor is listed in the grid in a row. The columns on the left side of the grid are related to vendor identification, and the columns on the right side of the grid are related to ten ninety nine box numbers. One of the convenience features in Matrix Cloud is that when you select a row in the prepare grid, all of the information is displayed at the bottom of the screen for easy viewing. On the left, you'll see highlighted in purple in our screenshot, we've got the area where you can switch between tabs to view recipient contacted federal info versus any state and local items that might exist for that vendor. As you're initially reviewing your vendor data in Atrix, you may notice something like an EIN is missing or it's in the wrong format. So this is another example where you'd wanna go back into FENXT, which you have open in a sec in, you know, a window next to it, you can easily correct that information right in an FENXT by editing the vendor record. If the vendor's EIN is showing in Ahrefs as a Social Security number, then you'll change the vendor type from individual to organization. After you save the updates in FENXT, you won't see changes to AtriX data immediately. However, once you relaunch AtriX again for your final run through, you'll see all of those corrections carry over with the new data. When you're ready to have AtriX review your data for errors, click validate an e file. That's gonna be a button at the top of the screen. Ahrefs will step through a process to verify that all of the fields in the prepare grid meet the formatting requirements for the form. If an error is found, the impacted row number and the cell will be highlighted in red, and a message about the error will display in red text on the left side of the grid. Remember, again, you want to correct any errors in FENXT to maintain strong data hygiene and ensure that the system reflects accurate, reliable information. In the example that we have here, Atrix has given an error about a missing address. So to update that address, I would locate the vendor record in FENXT, then we can use the contact information tile to make the edits. When the window opens, we may see that the address already exists. But because the vendor doesn't have a ten ninety nine default address specified, it's not pulling into AtriX. We can tell that that's the case in this screenshot because the ten ninety nine box is not checked. To specify the existing address as a ten ninety nine address, we mark that checkbox and click save. If instead we needed to edit these existing address, we could use the pencil icon in the upper left corner of the screen to edit the address information for the vendor and then save it. In the Ahrefs' error validation process, you will not be able to move past an error without correcting it in Ahrefs' well. So after updating FENXT, type the address information into the AtriX grid to clear the error. Then click validate an e file again to continue the validation process. In addition to errors, Aatrix may also display warnings. These are highlighted in yellow with a warning message showing on the left side of the screen. Warnings provide information about fields that have potential issues, such as recipients with duplicate EINs. Unlike errors, if you wish to move past the warning without making changes, you can do so. Once the final validation is complete without errors, your initial test run is finished, and you're going to proceed with your final processing. You'll close the browser tab within Atrix or that has Atrix in it, and you'll go back into Payables communications ten ninety nine forms in FENXT. Then you'll generate that ten ninety nine parameter again. Once you log in to AtriX again, your ten ninety nine data will export from FENXT into AtriX, including any corrections that you made during your test run. Since you have a previous draft already started in Atrix, you'll be prompted with this screen asking if you'd prefer to start a new draft or continue your work in progress. If you made changes to your records in FVNXT during your practice run, you should select start over so that the new data will be pulled into Aatrix. If no changes are made in FENXT between last saving your work in Aatrix and when you receive this screen, you are safe to continue your work in progress. One question we received was regarding how soon Aatrix will reflect any corrections you make to the records in FE and XT. As long as you relaunch Aatrix and let it transfer in the new data, the information will be updated immediately. After you've progressed through the company information, prepare grid, and all the verification checks, you'll see the ten ninety nine filing options to choose which forms you will be processing. If you choose the complete e filing service, Aatrix will process all forms for you. They will e file the federal and state forms as well as print and mail your recipient copies. There is an other options at the bottom there where you can choose to have matrix e file your federal and state forms, but you will not have access to the recipient forms with this option. And with either option selected, just note that there is a minimum charge that will be applied. Here's an example of what you'll see in the matrix forms viewer. You can click through the pages of the federal, state, and payer forms to review the data and layout. You won't see the recipient copies in the forms viewer here. In the top right there, you can click the records copy button and download a watermarked PDF of the report for your own record keeping. Once you get to that, the HX submission date screen, you're gonna have two options to file either in an earlier wave or a later wave. If you complete your ten ninety nines early and you choose to file in the later wave, HX is gonna hold on to your forms until the date that's selected. If you find that you've got corrections to make and HX has not yet submitted your your ten ninety nine forms to the government, then you're not gonna be charged for those corrections. After sorry. After you've reviewed your forms, you're ready to e file. You're gonna be taken to HX e file session, which includes pricing information, and that's where you're gonna enter your payment method. This is gonna complete your ten ninety nine process. Then zooming out here for all of our visual learners, we've got a graphic that summarizes the full ten ninety nine process that we're recommending with steps that occur in FENXT in blue, and then the steps occurring in Atrix in orange. We recommend starting with that initial practice run during which you can update your FENXT data based on any errors or messages you receive in Atrix. This way, your final processing goes quickly without any errors, and your FENXT data aligns with what is submitted to the government. To ensure that your recipient copies are sent by the federal deadline, The HREX e file deadline for federal forms is January 30 at 3PM central time. For most states, the deadline is 3PM central time for on January 29, although there are a few states that have later deadlines. If you wanna confirm your filing is complete or review your submitted forms, you can do this in the HXE file center under the filings tab or go to FENXT, and then under payables communications, you'll notice the tax report history tab. Here, you'll be able to view your previous drafts and filings, anything that was completed in Atrix Cloud. Next slide, please. Great. So we're super excited that. to announce that starting this year, you're gonna be able to make corrections to completed ten ninety nine forms using FENXT and Ahrefs Cloud. To make corrections to an e filed form, you'll go to payables, communications. You're gonna ensure that your ten ninety nine parameter has the correct form and year selected, the one that you're trying to correct, and then you'll click generate. As long as those two fields, the form field and the date field match the form that you're trying to correct, the screen will appear after you log in to Aatrix. So you'll log in and you'll see this screen right away. You'll click the top button on the right there, the one that says correct completed ten ninety nines, and that's going to open the Ahrefs prepare grid. To add a recipient who was not included in the original filing, you'll use the add button, and then enter the required information into the new row. To remove a recipient who was included by mistake, you'll use the remove button to remove their row in the prepare grid. To edit a recipient's data, click the cell in the grid that needs updating, and then just use your keyboard to correct the information. You don't need to make any changes to recipients whose data is correct. Then you'll use the validate an e file button to run through the error checking process. Follow the remaining prompts to complete your corrections. The steps for correcting completed ten ninety nines can be found in KB207218. Well, we've definitely covered a lot of information up to this point. We went through the most pertinent parts about ten ninety nine setup and preparation. We took a detailed look into how to process ten ninety nines in AtriX Cloud, and we've talked about the new process for correcting completed ten ninety nines. Just as a quick reminder, all of this information is available to you in that tax resource center that Grace toured us through at the beginning of our session. And now Grace and I are gonna go ahead and tag team some questions that we received from registration. And our behind the scenes team is also going to pull some questions for us to answer live. So, you know, keep your questions coming. The first question that we have from registration is whether the twenty twenty five forms are now available, which they are. HREC released the year end update on December 20, so you can get on in there and process your ten ninety nine today if you'd like. We also got some questions on viewing past ten ninety nine submissions via the database view. Unfortunately, you cannot pull them up in the database as mail has been removed. So for any tax reports prior to 2024, you'll need to contact Aatrix. We've got a question about how to get the username and password for AtriX. If your organization has never used Aatrix e file before, then you'd go to the the efile.aatrix.com website. Let me say that again slowly. It's efile.aatrix.com. And that you can enroll. There's an enroll link on that site. If your organization has e filed with Atrix in the past, but you're not sure what your credentials are that are associated with the EIN, then there's an option to recover your username and password. And, we have a knowledge base article two five three one three two, and that's gonna review all of this information. I'm sorry. I got that number wrong. I read it I read it wrong. It's 53132. Alright. It looks like we've got a lot of questions coming in regarding multiple EINs and whether it's possible to file for those multiple entities. Yes. Absolutely. We've got KB article nine eight five two zero for that. I'll repeat that a little slower. It's KB article nine eight five two zero. To summarize what's in that article, though, let's say you have two EINs for your one FENXT environment. The first EIN will be associated with one Atrix e file account. The second EIN will be associated with a second Atrix e file account. So one FENXT environment with two EINs, you have two matrix e file accounts. How that'll work is you'll go to payables, settings, organization info, and you'll enter your first EIN. Then in your ten ninety nine parameter, you'll filter for specific vendors for that EIN. And when you click generate, you'll enter the credentials that correspond with that first EIN. Then you'll repeat the process. So you'll go back into Appian XT, payables, settings, org info, and you'll change it to your second EIN. When you go back to your ten ninety nine parameter, you'll filter for the next set of vendors that are associated with your second EIN, and then you'll enter your second Atrix e file credentials. So that's a summary of it, but don't worry about remembering all of those exact steps. You can reference the KB. Again, that's KB number 98520. And just as a quick housekeeping reminder, this session is being recorded. You can access the recording by using the link you joined today. So however you joined here, click on that link again, and you'll be able to get to the recording. It will also be emailed to everyone within twenty four hours of the session. So you can always go back and watch the recording. Alright. So I saw a question about the 1099 name section under the address and whether that would override the vendor name. I just to give some insight, the person asking the question is referring to the on the vendor record under the contact info tile, there's a field for 1099 name. The information in that field will replace the vendor name that shows in the optional name field on the Atrix prepare grid. In other words, if your vendor uses a different name than what you have in their vendor record, you can use that ten ninety nine name field to override the vendor name that exports out to AtriX. It looks like there are a bunch of questions regarding forms. So I wanna take a quick minute to review the forms that we'll be processing, in Atrix. Alright. So as you know, if your database is hosted with Blackbaud, you'll be using AtriX Cloud to e file your ten ninety nines, which means you won't need to purchase any physical form paper since there is not an option to print with AtriX Cloud. A lot of users has have been asking about the recipient copies. With Aatrix's complete efiling service, they will print and mail those recipient copies for you. So, again, no need to worry about any form paper or mailing. There are still some customers whose database is not hosted with Blackbaud, so that means your database is on your own server. You will have the option to efile or print your forms, and Aatrix is approved to print federal and state forms on blank white paper. So you don't actually need to purchase any physical form paper in this situation either. The federal red official forms are no longer used. Another little housekeeping reminder, based on the questions that are coming in, the slides and other resources we've referenced like the resource center, they are all available in that docs widget there as well as the recording from December's webinar. So in case you missed any of the KB callouts or URLs or anything like that, take a look at the docs widget there on the right of your screen, and you'll be able to see all of those, resources there. Alright. So I see a question about, will AATRIX file ten ninety nines to the state as well or only federal forms with the IRS? AATRIX will file both federal and state forms. Not not every state requires a ten ninety nine, so it's gonna depend on whether you know, what the state requirements are. It also will depend on whether you have state set up on your ten ninety nine distributions for the invoices. If the vendor has ten ninety nine activity with a state associated with it, then and and the state requires the activity to be reported, then Atrix is going to process those forms for you. It looks like we've got a question on vendor contact info reading. There's a new ten ninety nine name field in the vendor's contact info. Are we required to have this field filled out in order to process ten ninety nines through Aatrix? No. This is not a required field. The field is available for you to show a name on ten ninety nines that is different from the vendor's name. Usually, if the vendor has a DBA name or maybe the vendor records has a company name, but the ten ninety nine is issued to an individual or vice versa. But, no, it is not a required field there. Can you update the contact information in FENXT while you are in Atrix? Yeah. You absolutely can. But the updates are only gonna show in Atrix once you've closed out of AtriX and relaunched re well, like, relaunched the parameter. That's when the data transfer happens. So that that's like the whole practice run thing that we talked about earlier. You know, you'll do your corrections in FENXT, and then you'll close out of AtriX, relaunch it, and then choose the option in the draft screen to start a new draft. That's gonna import fresh data into Atrix from FENXT, and that fresh data will include all of the corrections that you made in FENXT. Next up, a question on, being new to filing with Aatrix this year. We haven't filed with Aatrix before. Do I need to add anything to FE NXT? No. As long as you've been granted the appropriate permissions within FENXT or your solution admin, you'll be able to create the ten ninety nine parameter in payables communications. This will launch Atrix Cloud and WebView, so you don't need to do anything additional to enable Atrix for WebView. You will, however, need to set up that e file account with Atrix so that you can e file your forms. But, no, there's nothing you need to download or install. It is all right there in FVNXT for you. We still have some questions coming in about how to print from Atrix Cloud. So I want to reiterate what Grace said earlier. Atrix Cloud, which is what we use with FENXT, does require everyone to complete to use the complete e file option, meaning there's not an option to print and generate forms. The stuff we were talking about earlier with printing was specific to our on premises customers. We've also got a question. Do I have to e file with Aatrix in the past we've e filed directly with the IRS? You can absolutely process your ten ninety nines directly with the IRS. Matrix is our ten ninety nine partner that is available to help you with efiling. But if you choose to file with the e r file with the IRS instead of Matrix, you can review knowledge base article, two zero five four nine one to pull the necessary data and file outside of Financial Edge. Somebody was asking about the transmittal form. Would Atrix print the transmittal forms, or do we need to purchase those? Atrix is gonna file your ten ninety six form as well. But like I always mentioned before, they're gonna e file those forms along with all the other forms. They're they're they're nothing is gonna be printed when you e file, unless your recipients are, you know, not choosing electronic. The recipient copies get printed and mailed, but Ahrefs takes care of that. I've also seen a couple questions come in regarding cost of efiling. The cost to efile will vary since it's based on the number of recipients, but our AtriX partner page has all that information on pricing. Here, we've got a question about if there's an error in the amount. Do we update the vendor record and then let Matrix know about it? The I think the ask well, let's put it this way. If the ask is about an error that was caught after you your e filing is complete, then you're gonna follow the process that we reviewed to complete corrected ten ninety nines through FENXT. That process is gonna be outlined in it's KB 20718. If the error was caught before your filing is complete, then you'd make your corrections in FE. You'll regenerate your ten ninety nines, and then that'll push the updated data to Ahrefs for final checking and submission. Alright. I see we have a question here from a new employee. If we already have an Atrix login for our company, how do I get access to log in as a new employee on the team? You'll wanna contact Atrix directly regarding your Atrix accounts so they can help you get access or make changes. Just as a reminder, there's one set of credentials per EIN. But, yeah, contacting Atrix directly will be your best bet there. There is a recovery option can the login screen too, so you can use that. Thank you. Mhmm. Yeah. Somebody asked earlier, I noted, whether a vendor like, in I don't I don't quite remember what the question was. But if you've got a vendor or a payment that isn't in FENXT, so it's something that you're not tracking in FENXT, and but they still need a ten ninety nine, how do you handle this in Aatrix? So if you've got somebody who needs a ten ninety nine and it's not part of your FENXT database, then you're going to once you're in the AtriX prepare grid, you're gonna use the add button. That add button will pop a new row into your, you know, list of into the grid of of vendors, and then you'll fill in the information there. Now if you're doing this during your practice run, you're gonna need to add that vendor again when you're doing your final processing. So just remember, because FE will export fresh data, it'll overwrite what existed. So just remember on your final run to make sure that that vendor gets added in. Alrighty. Just to be mindful of the clock here, we're gonna answer two more questions live. But if you've got questions in the q and a, don't worry. Our team is not going anywhere. They'll still keep working through all of the questions that you're submitting right now. So first up, we're using payment assistant. Does repay issue ten ninety nines, or do we need to? You will need to issue ten ninety nines for your payment assistant activity. So unlike credit cards, where the credit card company handles the ten ninety nine, you will need to issue, ten ninety nines for your payment assistant activity. And lastly, a few customers are asking about the end of year patch for Financial Edge. This is only relevant for our on premise customers, but patch 62 is the year end patch that includes AtriX updates. So if you haven't yet completed your end of year patch update, then you can find patch 62 now available on the downloads page. And then once you've got that downloaded, you will be good to go with, twenty twenty five taxes. Since we are approaching time, though, I just wanted to thank you all so much for attending the session today. We received some really great questions in the, registration, and we appreciate all of the questions you submitted, today live. We hope that today's session has been helpful in preparing you for processing your ten ninety nines. One last reminder to look in the docs widget for all of the resources you need from that tax season resource center, to the recording from December's webinar, to the slides. We appreciate you spending your time with us today, and we hope you have a great tax season. While Tegan and I have wrapped up our content here today, our q and a team is still here and actively working behind the scenes to answer your questions. So if you have any unanswered questions, don't go just yet. We are still working until 3PM eastern here to get you your answers. And one last call out, the webinar is being recorded. So if you need to rewatch it, you can use the link you used to join today, or you will be receiving an email within twenty four hours, and you can use the link there. But thanks again, and have a great day. Bye, everyone.
